Viewing the Documents Register


The Documents Register is made up of columns that describe the details of each document. You can also add custom fields to the Register view by clicking Manage columns.

Padlock Icon

padlock icon in Document Register

A padlock icon indicates that the document has been checked out. A red exclamation mark icon shows when Bluebeam consolidation has failed. Document continues to attempt consolidation.

Comment Icon

Comment Icon in Document Register

A blue comment icon indicates there are text comments available for the document. A red comment icon indicates there are outstanding text comments for the document.

View Icon

View Icon in Document Register

A magnifying glass icon indicates there is a preview available for the document.

Folder Icon

Folder Icon  in Document Register

A folder icon indicates that the document is in a folder.

Document No.

The unique identifier for the document.

Rev (Revision)

The revision of the document.

Sts (Status)

The status of the document. This controls whether the document is restrained (needs to be reviewed) or un-restrained (can be released immediately).

Document title

The description of the document.

Discipline

The discipline of the document. Documents can be grouped by disciple (e.g. Structural, Electrical or Mechanical).

Category

The category of the document. Documents can be grouped by category (e.g. Main Building, Carpark, Atrium).

Type

The type of the document. Documents can be grouped by type (e.g. Drawing, Report, Manual).

Review status

The status of the document’s review process (e.g. Released, Un-restrained).

DWG, PDF, DOC and OTHER

The formats the document is available in for download.

To select a document in the Register, select the document’s check box on the left side of the screen. To select all documents in the register, click Select all at the bottom of the page. This feature is available when there are 1000 or fewer entries in the register results. The option is disabled when there are more than 1000 entries. To copy text from a single cell in any register, right-click in the cell and then select Copy text to add the cell contents to the clipboard.

To open a document, click the document number or double click the row of the document. The document opens to the details page or in the viewer, depending on your user preferences.
