Export forms

You can export selected forms in Microsoft Excel, HTML, or PDF file formats. See the following table for more details on each export type:

Export type Features
Excel spreadsheet Selected forms and their contents are downloaded in an Excel spreadsheet, with each form in its own row.
HTML An HTML summary of the selected form is downloaded. If multiple forms are selected, the HTML files are downloaded in a Zip file.
PDF (Complete) Depending on the options selected, a PDF summary of each form can be delivered in a Zip file or as a single PDF. You can also export comment attachments, form review status, and form history. The single PDF also includes a cover sheet that serves as a table of contents.
PDF (Content) A PDF preview of the form opens in a separate window. If multiple forms are selected, a PDF summary of each form is downloaded in a Zip file.

To export a form, select it, click the Export icon, and then select the export option. You can select multiple forms for all options.

Export a form as complete PDF

Export a PDF (Complete) form when want to include all or some form comments, comment attachments, form review status, and form history.

You can export the entire form, or you can select only the sections or attachments you need. You can export the complete PDF as a single PDF or a Zip file. The single PDF option includes a table of contents with links. If the PDF is over 25 MB, a file is exported and sent as a link to download.

Export a form as complete PDF

  1. Select one or more forms from the register.

  2. Click the Export icon, and then choose Selected Forms > PDF (Complete).

     

  3. Use the check boxes to specify the details and form sections to be included in this export.

  4. Select Export as Single PDF or Export as Zip file.

    If you are exporting as a single PDF, you can optionally select Upload as a new document.

  5. Select Direct Download or Download via Queue.

    Direct Download: The form and its selected contents will download to your computer.

    Download via Queue:

    • You must enter a document title.

    • You can optionally enter a password for the Zip file.

  6. Click Download.

  7. The selected forms will export based on your specifications.

    • If you selected Direct Download > Upload as a new document, the document upload screen will load with the form PDF preloaded.

    • If you selected Download via Queue, an email notification will be sent containing a link to the export files.

    • If you selected Download via Queue > Upload as a new document, the notification will include a link to the document upload screen with the form PDF preloaded.

If the download includes dynamic table data, you will be prompted to select a detail level for the export. The simple view matches the register set up. The expanded view includes all form data and any table data in the selected form type.

Export form details in bulk to Excel

Export form details to an Excel spreadsheet so you can quickly see the details of the selected forms outside of the Document environment.

  1. Select the forms.

  2. Click the Export icon.

  3. In the Excel menu, select Selected Items.

Export the entire Forms Register by clicking the Export icon and then selecting All items. If a specific form type has been selected in the Type drop-down list on the register, the Export process exports the section data. Only one form type at a time can be exported in this manner.
