This video demonstrates how to upload multiple documents using bulk items enhanced.
Chapter: Enabling Bulk Items Enhanced
Bulk items enhanced must be switched on for your project before the option will be visible. If you click here and you don't have the bulk items enhanced option, then you need to speak to your project administrator. Click here to open the bulk items enhanced screen. Here, you can see this looks and acts like an excel spreadsheet, but this sheet has project details already added to it. First, we need to upload the files.
Chapter: Uploading Files
Click here, and either browse or drag and drop the files into this window. Once the files have finished uploading, they will be listed here. The document number will be extracted from the file name, and can be updated here if needed. If using auto numbering, enter 'auto one', 'auto two', etc. in the 'document number' column like this. Now enter the titles of the document. Since this is the first time these are being uploaded, all mandatory fields will need to be filled in.
Chapter: Adding Document Details
You can do this by clicking on the field and then selecting a value from the list provided. If you don't see a value that you need for these documents, you'll need to contact your project administrator. If your documents share the same values, such as discipline, you can use the copy attributes function to copy from a selected field to any number of fields. Alternatively, you can use the copy and paste functionality, or excel based drawdowns to copy the data across multiple rows.
Chapter: Validating Document Uploads
Before we complete the upload of the documents, we click the validate button and the system checks the details we have entered for each document. If there are errors, the text in the line changes to red, and the reason for the error is listed on the error column on the right hand side. I've missed a mandatory field, so I need to correct the error and validate again. Now that my documents have been validated, click here to upload to the register. Here are the documents uploaded into innate documents register.
Chapter: Uploading Document Revisions
Next, let's review how to upload new revisions of documents. First, upload the new revision files of the documents. Then, click the 'Get attributes' button and select either the 'selected documents' or 'all documents' option. The system will then search the document register for documents with matching document numbers and import the current attributes of the documents into the screen. Now you only need to update the fields that need updating, such as revision or perhaps the status column. Once again, we check everything is correct by validating the documents.
Chapter: Finalizing Document Revisions
Then click the save to upload the document once validation has been successful. Here are the documents uploaded into the register with their new revisions. Well, that's how to use bulk items enhanced. Thanks for watching.
