Video - InEight Document Enhanced - Manage user Security

Welcome to InEight Document.

This video demonstrates how to manage user security as an administrator.

Click here, select admin, then manage user access.

This is where user access is managed on your project using security groups.

Security groups define access levels for mail forms and transmittal types.

As well as delegated admin permissions, Each user's access levels within modules can also be managed from here as well.

To create a new security group, click here and allocate a group code and title.

Default module settings for the group are shown below.

These are applied to all newly created contacts within the group, or existing users move to this security group.

Once complete, save.

To update mail type access for all users in a security group, select a security group.

Then for each available type of mail, specify whether users can read, draft, send, and attach files.

Remember this access is set for the entire security group, So if certain users need a different level of access to a mail type, they will need to be in a different security group.

If none of these options for a mail type are ticked, users in this security group will not be able to send or receive that mail type.

This mail type will not even be visible to users in this security group. Even if they have, company access to mail.

Once mail type levels have been defined, ensure you save before moving to any other tab.

Next, from the axis, type drop down here, select transmittal, and define which types of transmittals these users can send.

Since it is the lead contractor, I will give them access to send all transmittal types.

Once again, be sure to save if you make any changes before moving on.

Now, if the forms module is being used, select forms from the access type drop down.

And define what forms this group can read or send.

This can be used for instance to ensure certain security groups have full access to create specific forms, while still allowing other users in other security groups, to read forms they are sent.

From the access type drop down, select users.

Click here to add a user to this security group.

Note, if you select a user who is already in another user group, You will need to confirm you wish to move them from their existing security group.

Their access levels will also be overwritten and replaced with the default settings of the new security group.

Once each user has been added, their level of access to which module can be updated.

Note, if no access is granted to a module, it will be hidden from view for that user.

If there are many users from different companies within a security group, you can sort by company by clicking here.

To remove someone from a security group, simply select their row, then click here.
