Video - InEight Document Enhanced - Using the online Viewer (PDF)

Welcome to InEight Document. This video demonstrates some of the key features of the online viewer tool for PDF files.

Accessing the Document Viewer

From the document register, click this icon within the required document row. This will open the online viewer. Here, you can see the file name, and using this drop down, you are able to compare different revisions of the document in a separate window. Watch the compare document revisions video for more information about the compare function. Here, you can move to the next or previous document in your register view without having to close the viewer. These buttons can be used when managing workflows, reviewing, or releasing documents, making it easy to navigate through groups of documents being reviewed.

Navigating Document Features

There are a number of viewing features found on this tab, including the ability to move around the drawing using this tool and dragging. There are also controls to zoom in and out. You can use this feature to zoom in to a specific area. This tool launches a window here with the selected area magnified.

Markup and Annotation Tools

From the markup tab, options include adding notes, text boxes, typewriter text, and callouts. Use different shapes to highlight sections of of the document. You can also draw free form lines with this tool. To update properties of a markup, select it and make updates on the slide out panel, then click apply. You can also add stamps that have dynamic details on them to the drawing by clicking here. Any annotations that may be used repeatedly by yourself or other users on the project can be added to the tool chest. Simply select one or more annotations that you want to create a tool chest item based on. Right click on them and choose add to tool chest.

Creating and Managing Tool Chest Items

Next, give the item a name, choose a category, and specify the access level for the item. Based on your security settings, items can be made available at different levels. Personal means only you can access it. Company allows anyone from your company working on the project to use it. And project grants access to anyone on the project regardless of their company. This is a great way to share your tool chest with other users on the project. Next time you need to use an item, simply open the tool chest, select the item, and click on the document where you'd like to add the annotations.

Measurement Tools Overview

From the measure tab, you can use these tools for approximate measurements. If you add any annotations, remember to click save before closing the viewer. Alternatively, you can enable the auto save document markups option in your project to automatically save all annotations. You may also want to enable the auto load document markup setting.

Real-Time Collaboration Features

This feature lets you view other users' markups in real time when multiple people are working on the same document, helping to prevent duplication errors. This side menu contains additional options. For instance, you can search for text in PDF files or easily navigate by scrolling through pages using this feature.

Managing Annotations and Comments

View all annotations and comments by clicking here. The typewriter annotation text that was added has been automatically published. Here is where you can add a response to any annotation or comment. Responses will appear in the comments register, with numbered bullet points indicating which comment they correspond to. You can identify the different types of annotation by their icon. If you only want to see text box annotations, you can also filter these using the filter option here, and click on the annotation to highlight it. You can also search for annotations using the filter search option. Add comments from here. Note that if an annotation contains text, this text will be automatically extracted and added to the comments tab, allowing you to see the comment contained in the Typewriter annotation here.

Linking Annotations to External Items

Here, you can add links to support an annotation, such as mail, transmittals or other drawings. To add a link, select the annotation, right click it, and choose link existing items, link new items, or link new InEight item. Once added, the link appears in the links pane. When you hover over the annotation, the link is displayed, and you can click it to open the linked item directly. Finally, you can open a table of contents here and go to another document without having to open another tab or reopen the register.
