Uploading Revised Documents

When uploading revised documents (new revisions), you can use the Get Document Details option to quickly retrieve document metadata from previously uploaded revisions, saving data entry time. Additionally, drop-down field data in the XL-Upload spreadsheet populates, making it easier to select accurate values.

This feature can also be used when documents have not been previously uploaded. An error message shows stating that the document is not available, indicating that it is not currently in the Documents register; however, the drop-down field data will now be populated in the spreadsheet.

Upload revised documents

  1. From the XL-Upload tab, add files for the upload.

  2. Click Get Document Details.

    A search for the document metadata is conducted in Document. When found, the existing attributes for the last uploaded revision of that document number are shown.

  3. Use the drop-down menus in the Rev or Status columns to reflect the revised details of the document.

  4. Click Validate Documents, and then make any necessary changes if errors are highlighted.

  5. Click Upload Documents to complete the upload.
