User Assignments

User assignments contain all the users from InEight Platform. Compliance also pulls the user’s email and status of active/inactive from the user profiles.

In the user assignments tab, you can assign, edit and add new users to specific Compliance modules. You can also transfer assignments between users and add reporting tags to users.

You can also configure automatic user assignments on the Module summary tab. See Module Summary and Organization for more information.

In the Add new assignments wizard, a user consists of an organization, project, category, and role. The following Step by Step walks you through adding a user assignment.

Step by Step — Add a User Assignment

  1. Choose User assignments from the listed tabs below the Safety tab.
  2. Click the Add icon, and then select Add user assignments from the drop-down list to add new assignments.

  3. Choose an Available user from the list shown.
  4. Click the right arrow to move the available user to the selected users list.
  5. Click Next.
  6. Select a Job from the Available organizations/projects list.
  7. Click the right arrow to move a Job to the selected organizations/projects list.

  8. Click Next.
  9. Select a category from the Available categories list.
  10. Click the right arrow to move the category item to the selected categories list.

  11. Click Next.
  12. Select a Role from the available roles list.

  13. Click the right arrow to move the Role to the selected roles list.
  14. Click Done.

    • Your new user assignment has been created and is shown in the list of user assignments

You can reassign forms, tasks, and workflow between users by transferring user assignments. The following Step by Step walks you through transferring a user's assignments.

Step by Step — Transfer User Assignments

  1. Click a username in the User assignments page.

  2. In the dialog box, click the Transfer assignment icon next to the role you want to transfer.

    You can only transfer one role's assignments at a time.

  3. In the Transfer user assignments wizard, select the user you want to transfer assignments to, and then click Next.

  4. Select the categories whose assignments you want to transfer, and then click Next.

  5. Select the organizations and projects whose assignments you want to transfer, and then click Next.

  6. Select either Transfer and close or Transfer.

    If you click Transfer, you can then select the next user to continue transferring assignments to another user.

    An email is sent to the target user when assignments are transferred.

A user can have many different assignments. All user assignments do not affect the Core roles within the product portfolio at any time.

Step by Step — View User History and/or Roles

  1. Within a module, click on any Compliance Tile and select User Assignments.
  2. Search for desired individual using the scroll bar or via the Search icon.
  3. Click on the individual’s Name.
  4. Click on either the Assignments or History tab.
  5. Click the X to close the individual’s view.

Reporting Tags

Reporting tags define who can see reporting data on template questions with the same tags as the users.

Reporting tags are configured on the Module summary tab. See Module Summary and Organization for more information.

The following Step by Step walks you through how to add reporting tags to users.

Step by Step — Add Reporting Tags to Users

  1. Click the Add icon, and then select Add reporting tags from the drop-down list.

  2. Select the users you want to add reporting tags for.

    You can search for users or turn on View selected Users to limit your view to only users you select.

  3. Click Next.
  4. Select the reporting tags you want to add to your selected users.

    You can search for reporting tags or turn on View selected reporting tags to limit your view to only tags you select.

  5. Click Save.

To remove reporting tags from users, select the check box next to a user, and then click Remove reporting tags in the upper-right of the page.

If you remove reporting tags from a user, that user is no longer able to see any reporting associated with the removed tags.
