User Assignment limit – There is now a limit of 5000 user assignments that can be assigned at a time. Upon completion of selecting category or roles, you no longer need to wait while the changes take place as they will be handled in the background on the server. When adding more than 5000, you will get a warning. Read more

Mobile Release Notes

• Submission history details on SQC Mobile – This improves our ability to understand issues that may arise on mobile devices and why events or tasks may not sync from the device back to the web.

• Cache clear on SQC Mobile – The cache clear option lets users clear out their current projects database and results in a clear update. Occasionally, users report issues that we are not able to recreate, and previously we’d ask the user to either delete and reinstall the application or delete the project and reinstall. The cache clear option eliminates the need to reinstall the app. Read more

• Searchable Component and Project Structure values – SQC search now searches project structure and component fields for events/tasks that reside locally on the device.

Mobile Release Notes

• Integrated questions – When connected to the internet on the SQC app, you can now interact with integrated lists and reference questions. Previously, integrated question types were only available in the Web application. For more information, see Filling out an Event or Task.

• Mandatory button fields – Button question types marked as mandatory are now included and enforced when completing or advancing form validations.

Mobile Release Notes

• New InEight Mobile app – The new InEight mobile app lets you access Compliance and Completion events and tasks using web view functionality. If you have assignments in organizations or projects, you now have access to events and tasks versus just access to scheduled events, as shown in the SQC app. Read more

  Because the new mobile app requires authentication and provides web view functions, you must have a strong internet connection for optimal performance and use of the app.

  Events with an active form flow are now available for you to update. A link to the SQC mobile app lets you access connected and offline use cases. Currently, The InEight mobile app is only available for iOS users.

• New Auto Sync feature – This new feature performs a daily delta sync for the active, downloaded project. The delta sync updates any changes to permissions, projects, and templates in the SQC mobile application. This feature is set to On by default for all users starting this release of the SQC mobile application. If you set this feature to Off, you have to manually sync regularly to ensure any updates are captured to permissions, projects, and templates. The Auto Sync feature is in Settings > Sync Profile.

Web Release Notes

• Item Locked message in forms and tasks – The Item Locked message has been updated and a new Unlock and Edit option has been added to the options in the message. Read more

  The Item Locked message shows when the application detects that you have the same form or task open on another device, browser instance, or when the system did not remove the lock that prevented you from opening and editing it immediately. The message warns you that if you choose to unlock and edit the form or task, any changes made to the form or task in other devices or instances will be lost and the application will load the form or task data from the last save performed on the server.

  

  You can choose from the following options:

  • Cancel – Returns you to the previous page. Clicking the X icon to close also returns you to the previous page.

  • View – Open the form to see the last saved form data in View mode.

  • Unlock and Edit – Unlocks the form or task for further editing. Any changes to the previous form or task is discarded upon saving or submitting.

  Previously, when a form or task was locked, you had to wait for the edit lock to end before making updates. The edit lock duration has been shortened from 30 minutes to 15 minutes. For more information, see the new Locked forms or tasks section in Forms and Tasks.

Mobile Release Notes

• Pending sync messages alerts – You can now receive pending sync alert messages when you launch the SQC application. The alert messages remind you that there are submitted events or tasks that have not synced to the web. Read more

  When you open the SQC application and have pending forms or tasks that need to be synced, a Pending Records message shows that prompts you to perform a sync.

  

  To perform a sync, you must open the SQC application in a connected environment and the application must remain open in the foreground until the sync is complete.

  You can choose to not show the message again by setting the toggle to On, and then tap OK.

  You can manage the setting in Menu > Settings > Pending Sync Messages. The feature is enabled by default.

  

  For more information, see the new Pending sync messages section in Sync > Settings.

• To-do List Action Required message – When you open a new project and have pending saved forms or tasks, the updated alert message prompts you to go to your To-Do List Saved tab to sync, submit, or delete the items in the list prior to downloading a new project. Read more

  

  To sync, submit, or delete items, tap the Open To-Do List button to go to the To-Do List Saved tab.

  

  You can select a new project to download after the saved items in your To-Do List are addressed. For more information, see the new Opening a project with pending project changes section in Projects.

• Project structure and ITP template headers for tasks – The option to create dynamic template headers for events is now available for tasks. For more information about headers, see Headers Overview.

• Project structure and ITP template headers for tasks – In the SQC mobile app, you can now view, update, and sync dynamic template header question values for tasks. For more information about headers, see Headers Overview.

• UI and sync improvements - The primary project, which is the last project downloaded, now shows as Active on the Projects > Recent tab. The previously downloaded project remains on the device with partial data to improve sync performance when the user switches projects. Read more

  

  For more information, see Projects.

• New default values in forms - You can now configure default values in templates for Choice and Text questions. The configured values will show as default when performing the form. This will speed up the process when filling out a form when you have common default values. Read more

  The following image shows the default value template configuration for a choice and text question:

  

  You can select Short to limit the default value to 250 characters, or long to limit the default value to 4000 characters. For more information about configuring templates, see Template Creation .

• Automapping feature – You can now setup automapping to map templates to project values in the project structure or components and create a series of checklists for project structure levels (nodes) or inspection and test plans. Automapping setup lets you configure a series of map values that will be used as tags you can map to nodes in project structure, which can then be mapped to templates. This eliminates having to manually perform this process. Read more

  You can enable automapping at the project level in Project settings. Project structure or Integrate with Plan components must be enabled to use the Automapping feature.

  When enabled, you can configure automapping in:

  • Automapping setup - Create map values to associate to the project structure and templates.

  • Map project structure - Associate map values to the project structure nodes, such as areas, systems, or subsystems.

  • Map templates – From the list of templates, you can select mapped values and associate them to templates that have been configured with the dynamic header.

  • Go to Automapping – Select a mapped value, category, project structure nodes, templates, and default quantities to create forms (activities) for each level. You can filter by type to narrow list results.

  • Email summary – When your automappings have been created, you will receive an email notification with a Microsoft Excel file showing a summary of the new forms.

• Sync improvement- The auto-sync feature has been disabled, and the application no longer syncs automatically when launched. Now, a banner at the top of the application informs you when the last project sync took place. You must sync the application to get the most recent updates, such as the latest template revisions, permissions, or access to newly assigned projects.

  Notice that when you sync your project now, the application only syncs the current (most recently downloaded) active project. The application no longer syncs multiple projects, which minimizes the time needed to sync the project. The previously active project still shows in recent projects but will not sync. For more information about syncing, see Sync.

• Predefined email template reminders – Two new email templates have been added in Module settings > Email templates, Reminder of upcoming event and Reminder of upcoming task. When enabled, they will remind users of upcoming events or tasks prior to their due date. Read more

  The new email templates are shown below, and like other email templates, you can modify the email template content to show your preferences.

  

  The feature can be enabled on a template-by-template basis. To activate the feature when creating a new form, select Enable reminder notifications. For existing templates, select Enable reminder notifications in the template properties, under Options.

• IWP widget feature – A new installation work package widget panel that integrates with InEight Plan components can now be enabled to show in the module landing page. Read more

  The new widget panel lets you track upcoming planned and scheduled work for IWP components that have been mapped to Inspection and Test Plans. You can schedule inspection and test plan (ITP) related forms for ITP mapped components associated with the installation work package.

  

  You can enable the IWP widget by enabling the Show Installation Work Package widget on module landing page toggle in the projects Module settings > Project settings tab.

  

  Inspection & Test Plans and Integrate with Plan components must be enabled first.

• Project structure tree – You can now use the project structure hierarchy and component values to filter related events on the event grid. Read more

  When the project structure feature is enabled, you can view the project structure of a project on the event grid by clicking on the Project structure icon. The relationships in the tree list are defined in InEight Platform in the Project Structure definition. You can use the project structure tree to filter the events performed on a project structure in the event grid. Component values show in the project structure, based on their configuration defined in InEight Plan.

  

  Commodity and Work Classification project structure values do not exist on a component and should not be used in the project structure definition.

  You can enable the Project Structure by enabling the Project Structure toggle in the projects Module settings > Project settings tab.

• Project structure and Inspection and Test Plan (ITP) template headers - You can now view, update, and sync dynamic header form question values on your SQC mobile application. When selecting a template header drop-down field, the options will show at the bottom of the screen. You can scroll through the options and tap on your selection. Read more

• Inspection and Test Plans – You can now create inspection and test plans and integrate with InEight Plan components. Read more

  At the organization level, administrators have the option to enable the Inspection and Test Plans option for each module.

  

  When you go to Settings > Product Settings, and enable Inspection and Test Plans for a module, the Inspection and Test Plans tab for that specific module shows. You can view and manage the ITPs on the tab. You have the option to create individual ITPs, or to download the Inspection and Test Plan Import template to import them seamlessly.

  

  To enable Inspection and Test Plans for your project, go to Module settings > Project Settings. When enabled, click the Open Inspection and Test Plans link to access the dedicated page.

  

  On the projects Inspection & Test Plans page of your project, you can oversee and manage ITPs. Additionally, you have the option to create new ITPs for your project by following these steps:

  • Click the Create ITP button.

  • Click the Copy ITPs from Org button to download ITPs created at the organization level.

  • Import ITPs by utilizing the ITP import template.

    

    • Inspection & test plan report and administration - All project approved ITPs can be reviewed using the Inspection & test plan report. The report is available to print and download to Excel.

      

      Additionally, with the applicable permissions, you can view and use the quick links under Administration to perform common administrative functions.

• A new Project settings tab has been added to role configuration – The Project Settings tab lets you enable features in a project. Read more

  The roles area in Module Settings now includes a Project Settings tab at both the organization and project level. This allows for enabling and managing project settings features while configuring Roles.

  

  Project Settings provides administrators the ability to enable and disable project-level abilities related to the following features:

  • Enable/ Disable Project Structure – When enabled, the Project Structure feature is enabled and available to be used in projects.

    • Edit header template – Enables the ability to edit the header template associated with Project Structure.

  • Manage Project Inspection and Test Plans (ITP) – When enabled, the Inspection and Test Plans feature is enabled and available to be used in projects.

    • Create and edit inspection and Test Plans – Enable the ability to create and edit Inspection and Test Plans.

    • Edit header template - Enable the ability to edit header templates associated with Inspection and Test Plans.

  • Manage Project User Groups – When enabled, the User Groups feature is enabled and available to be used in the project’s settings. Previously, User Groups was in the Module tab,

    • Create and edit User groups – Enable the ability to create and edit user groups in projects.

  Users with these permissions have the ability to enable the features on their project in Module settings > Project Settings tab.

• Project settings enhancements – Project settings has been updated and is now a new tab in module settings. Read more

  Project settings is a new tab in Module settings at the project level.

  

  In Project settings, you can manage the following:

  • Inspection and Test Plans – When enabled, this allows the project to create and manage ITPs.

    • Integrate with Plan components – Projects integrating with InEight Plan who want the integration of ITPs with Plan activity components can activate this feature. Enabling this feature, templates with ITP headers can be created and components can be linked with events. To access the Headers page in a new tab, click the Go to Header Templates link.

  • Project Structure – When enabled, the structure and metadata defined in InEight Platform is visible and can be used to sort and filter data. The Project Structure Header template can be created and added to forms to link forms to project structure records. Click the Go to Header Templates link to open the Headers page in a new tab.

  • User Groups – When enabled, user groups can be created and managed, as well as associated with events or tasks. Click the Open User Group link to go to open User Groups in a new tab.

  To access and manage these features, they must be enabled in Organization or Project settings > Roles configuration.

• Project structure and ITP tab and template headers – You can now create new template headers for your forms in the headers tab. Read more

  A new Headers tab has been added in Module settings > Templates manager page at the project level. When enabled for the project, the ITP header and the Project Structure header shows. You can access the header tab in the module settings, Project Settings tab.

  

  • Inspection and test plan header template

    When the Integrate with Plan components feature is enabled in Project Settings, the ITP Header template is generated automatically. Additionally, if the Integrate with Plan components feature is also enabled, it will seamlessly integrate with InEight Plan components. This ensures that component data captured from InEight Plan remains consistent through the use of question types.

    • ITP Header builder page - You build your ITP header template in the Header builder page. Click an ITP header template to open the header builder.

      

      The ITP header questions are added automatically to specifically integrate with components in InEight Plan. You can add additional questions to your form as you do when configuring a template form to add to your ITP Header template.

    • Associate Plan components - You can associate an ITP to a component in InEight Plan, and then link ITP activities to templates using the Required records – Compliance Forms field.

      At the project level, on your Inspection and Test Plan page, select your ITP form, and then select an activity item to associate the template to the activity.

      

      After they are associated and approved, Plan users can choose which ITP will be associated to an activity component.

      

      The Enable Inspection and Test Plan mapping in InEight toggle must be enabled in global options in Plan.

  • All components grid - You can now view all component activities and their status in the All components option. You can track the work performed against a component in the module landing page, under Links.

    

    The All components option groups activities by component.

    

  • Project structure header template - When you enable the Project Structure Header feature in Project Settings, the system automatically generates the Project Structure Header template. The Project structure question seamlessly integrates with InEight Platform master data ensuring data consistency and providing a single source for Platform data.

    All Project Structure definitions and changes must first be made in Platform.

    • Project structure header builder page - You can build your project structure header template in the Header builder page. Click a project structure header template to open the header builder. The project structure header includes a question set up to retrieve the project structure hierarchy defined in the Platform.

      

      Similarly, to the template builder, you can add additional questions to the Project Structure Header template.

      Select the Integrated list question, and then click the Configure button to configure your template.

      The dialog box opens to configure the question.

      

  • Enable dynamic headers toggle - To enhance your template forms, dynamic header templates can be used as top headers. You can enable and disable the use of header templates created for your project. the toggle for Enable dynamic headers? is available in your template properties.

    

    When enabled, as you build your template, the Project Header space dynamically shows to serve as a placeholder at the top of the form.

    

  • Manage associations - You can associate published header templates with template forms in the Manage associations page.

    

    On the Manage associations page, you can view templates with dynamic headers that meet specific conditions. In the header associations column, you can select which header templates to associate with each template. If both header templates are selected, you can choose the header template that shows when filling out the form. If the header association is not set, the header templates will not show in the form.

    

  • New project structure values in the query builder - New values have been added to the Query Builder that directly reflect the values defined in the project structure hierarchy in InEight Platform for the project. These values are grouped together with a PS prefix. A Project Structure tree will be available in a future release to filter the events that align with the project structure.

    

• Project structure and Inspection and Test Plan (ITP) template headers – You can now view template headers when performing forms in your mobile device. Read more

  In the web release, you can now create Inspection and Test Plan headers that integrate with InEight Plan and Project Structure headers that integrate with project structure master data in InEight Platform. The template headers automatically show on your mobile form when the Enable dynamic headers toggle is enabled in the properties tab for the web template form. They show in read-only format.

  

  When enabled on the web, the dynamic headers and related questions show on the form in your InEight SQC mobile device. Scheduled events that contain inspection and test plan or project structure header values specified show as read-only.

  

  The dynamic header sections are not limited to the inspection and test plan and project structure questions. Additional questions can be added to these sections and are answerable for end users.

  

  • Inspection and Test Plans header – Component and component-related property questions are read-only. Additional questions added to the form will be answerable.

  • Project Structure header – The question specifically to the project structure is read-only. Additional questions added to the form will be answerable.

  You can perform your form and answer the active questions only, and then submit your form as usual. When submitting the form, the system will not validate the read-only questions in the header template, even if they show as required.

• Type field available to use in template forms – You can create and manage type values and use them in template forms. Read more

  Types allow you to add identifiers to a template to further define the activity. These are typically associated with identifying the risk of the event or task. Defining types lets you bring awareness to those risks during the closing of a phase in your project.

  The Types tab has been added to the Completions and Compliance Settings > Module Settings. Types can be defined and added in the Types tab for Template Manager in the properties section and on the reference question type.

  

  When creating a new form, the Types option is available to select or deselect in the Template Manager. Select the option to associate types to the template. When selected, the Types drop-down menu shows where you can then select from the list of defined types and make them available to use in the template form.

  

  When building the form, Types is automatically populated as a question in a section header.

  

  Like other question types, you can create a chain of associated events, set up default values, associate classifications, and add form details, in addition to other options, depending on your business process. After creating the template form, you can enable or disable the Types option in the template properties tab.

  When filling in the form, the Types option shows as a question. You can select from the pre-defined list.

• Integrated list question type (Web only) – An integrated list form question type has been added that integrates with InEight Platform resources. Read more

  When building your form in Template manager, you can now add the Integrated list question. The integrated list integrates with InEight Platform, and currently pulls data from equipment and vendor resources in the master data list.

  

  When building the form, select the Integrated list question, and then choose either Vendors or Equipment resources in the Details section.

  

  After you select from the available list, click Configure to choose a series of the resource column headings to add to the list.

  

  The selected column heading fields show as a hierarchy, which can be arranged in any order. After saving your integrated list configuration, each column heading option in the hierarchy shows as a series of cascading questions in your template form. The order of questions must be answered in the order configured in the hierarchy.

  

• API generator - Users with applicable permissions to the API generator and Completions module can create a custom reportable API for a specific form. For more information about the API generator, refer to InEight Explore release notes.

In this release, no features were added but technical improvements were made in the background to enhance your experience in Compliance mobile.

• The Quality module is now called InEight Completions – The Quality module has migrated from Compliance and is now called InEight Completions. It is no longer part of Compliance. You can access all your Quality module data in Completions. In the InEight cloud platform, you can access Completions from the main menu.

• Query builder – Query builder that can be used on event, task, and component list pages and future functionality with the project structure. Read more

  The query builder provides a more granular filtering and querying option for activities that are associated to events, tasks, and components. These filtering options are in addition to the options found in the grid page columns.

  To access the query builder, go to your project landing page, and then click a link under the left navigation links section.

  

  Click the Query Builder icon, and then build your query.

  

  In the query builder you can add, edit, delete, and share queries. Your saved queries are listed under the My Query menu, and your shared queries are listed under the Shared queries menu.

  Queries can be shared with users in the same project.

  Click the Add icon to add a new query. Enter conditions to your query, and then click Apply. You can then use the Reset, Cancel, and Save Query buttons at the bottom of the query window. If you update an existing query, you can use the Save Query As button to save the new query.

  Query builder column condition choices are dependent on events, tasks, or components. For example, if you select Components, you see column choices that are related to ITPs.

  

  You can enter up to seven conditions in a query.

• Compliance mobile application has been renamed – The mobile application has been renamed and is now InEight SQC.. Read more

  On March 28, 2023, on your mobile device, you will be prompted to update your current Compliance application.

  After the update, the new InEight SQC application shows a new splash screen, customer code page, and home icon.

  

  If you have access to InEight Completions, you can access both Compliance and Completions from InEight SQC.

  After you log in, depending on your permissions, you will navigate to one of the following:

• The Quality module now in InEight Completions – The Quality module has migrated from Compliance and is now InEight Completions. Read more

  The Quality module is no longer available in Compliance. You can access all your Quality module data in Completions.

  You must have permission to access the Quality module.

  After you log in, depending on your permission, you will navigate to:

  • Compliance module landing page if you have permissions to access Compliance only.

  • Completions if you have permission to access the Quality module only.

  • Compliance and Completions menu selection if you have permission to access both Compliance and Quality modules. In this menu, you can select to open Compliance or Completions.

  When you have permission to access a single module, after you log in, you navigate directly to your Categories screen (or your Favorites screen if you have favorites configured).

Inspection and test plans – This feature initially scheduled and previously documented for Release 22.12 has been postponed. To provide a better user experience, the ITP and Project Structures features are both scheduled to be available in Release 23.6.

• Supported currencies (web and mobile - compatible with web version 22.10) - New and existing currencies are now updated from the master data library in InEight Platform. This change lets you view all currencies supported throughout the InEight cloud platform.

• Reference questions enhancements (web only) You can add new reference types to the reference question on a template. Read more

  In Settings > Templates manager > Form builder, a new Reference question tile has been added to Form builder. Change Issues, Contracts, Document Items, Hyperlink, and Supporting Documents have also been added in the Type drop-down list.

  

  When you fill out a form containing the reference types of Change Issues, Contracts, or Document Items, and the question link is selected, it shows a list of items to choose from for the project. All items specified link to the form for future reference.

  

  When Change Issues is selected, a list of issues available for the project is shown for your selection.

  

  When Contracts is selected, a list of contracts available for the project is shown for your selection.

  

  When you select Document, the InEight Document application opens. You can select items from the Mail, Documents, Transmittals, Forms, and Gallery tabs. After you make your selection, click OK to return to your Compliance form. The selected Document items are in your list of references for the question.

  

  Note: InEight Document must be configured in Project settings for the project.

• Push notification enhancements (mobile – compatible with web version 22.10) – You can now set up push notifications on your iOS mobile device. Read more

  You can set up push notifications to alert you of any updates of assigned events and tasks. Use the iOS notification settings to control notification alerts.

  

  When an assigned item is set up, you receive a notification on your mobile device.

  

  You can tap on the notification to launch the application automatically. If you are logged in, it takes you directly to the item in the To-Do List. Users must be logged into the application to receive notifications.

• View active form flow (web only) – You can now view the status of an active form flow inside an event, so that you do not have to go back to the Events page. Read more

  When you open an event from the Events page, and the event has a form flow that has been started, you can click the View active form flow icon at the top of the page. The Active Form Flow dialog box opens.

  

  At the top of the dialog box is the name and description of the form flow and the number of steps. Below them, each step is shown with its status and responsible party.

  

• Quick start forms and tasks enhancements (web and mobile – compatible with web version 22.8) – The quick start options for forms and tasks on the module landing page have been enhanced for an improved user experience. Read more

  On the module landing page, the Forms and Tasks boxes have been enhanced with the following features:

  • Categories are shown in the drop-down lists only if you have access to fill out forms or tasks in those categories.

  • Next to the category name, the number of forms or tasks is shown in parentheses.

  • The total number of forms or tasks is shown in the lower right.

    

  • You can click the Favorite icon to add forms and tasks to your favorites. You can then select the Favorites option from the drop-down list to view only your favorites organized by category.

    

    

• Quick start forms and tasks enhancements (mobile and web – compatible with web version 22.8) – The quick start options for forms and tasks on the module landing page have been enhanced for an improved user experience. Read more

  When you select a module, you are now shown the new Favorites tab. This tab shows you all the forms and tasks that you have favorited on the web. Favorites are organized by category.

  

  You can also tap Categories to see all forms and tasks available to you for each category.

  Categories are shown in the drop-down lists only if you have access to fill out forms or tasks in those categories.

• Exceptions (web and mobile – compatible with web version 22.4) – Responses to list and choice questions can now be marked as exceptions. This feature is useful to indicate responses that are undesired or outside of normal business processes in some way and have those exceptions show in reporting. Read more

  Responses can be marked as exceptions in the template builder for list and choice questions. To set a response as an exception in the form or task builder, select a response to a list or choice question. In the Details side panel, select the Exception check box. An Exception icon is added to the right of the response. This icon is visible only in the builder.

  

  When filling out a form or task, the number of exceptions is shown in the upper right of the page. This number updates automatically as you select or deselect responses. If you click the number of exceptions, a side panel opens with the locations of all the exception responses.

  

  In the Events and Tasks pages, there is a new Exceptions column that shows when an event or task contains exceptions.

  

• Edit event/task permissions (web only) – The Edit event/task properties role permission has been broken out into more detailed permissions. Read more

  When you add or edit a Compliance role, the Edit event/task properties permission now has the following permissions under it to give you more control over assigning specific actions:

  • Edit event/task proj/org

  • Edit event/task category

  • Edit event/task due date

  • Edit event/task status

  • Edit event/task Reporter/Responsible party

  • Edit event/task title

  To see the expanded sub-permissions, select the Edit event/task properties permission. By default, all sub-permissions are selected.

  All existing roles with the Edit event/task properties permission in 22.4 are migrated to 22.6 with all sub-permissions selected.

  

• Role permissions redesign (web only) – The Add and Edit role dialog boxes have been redesigned so that roles are grouped into tabs.

• Exceptions (mobile and web – compatible with web version 22.6) – Responses to list and choice questions can now be marked as exceptions. This feature is useful to indicate responses that are undesired or outside of normal business processes in some way and have those exceptions show in reporting. Read more

  When filling out a form or task, the number of exceptions is shown in the upper right of the page. This number updates automatically as you select or deselect responses. If you tap the number of exceptions, a side panel opens with the locations of all the exception responses.

  

• Form and task header (mobile only) – The header of mobile forms and tasks now shows additional information. Read more

  When filling out a form or task, the top of the page shows the following information:

  • Sections – The number of sections. Tap this number to open a slide-out panel of sections that you can navigate to without scrolling.

  • Questions – The total number of questions.

  • Answered – The number of questions answered.

  • Exceptions – The number of answers flagged as exceptions. Tap this number to open a slide-out panel of questions answered with exceptions. You can navigate to those questions by tapping them in the panel.

  

• InEight Document attachments (web and mobile – compatible with web version 22.4) – Integration with Document lets you attach supporting documents from the Document application when performing a form or task. Read more

  When performing a form or task with an attachment question, click Select files or drag and drop, and then click InEight Document in the dialog box.

  

  A new window opens where you can sign into Document, and then enter search criteria. Click Search. Results are shown according to your Document user permissions. Select one or more documents, and then click OK.

  

  

  Document links are shown in the list of attachments in orange with the document version numbers. If you click a Document attachment, a new window opens to the Document application where you can see the details of an attached document and see it in the File Viewer.

  

  If integration with Document is not set up, you cannot click the InEight Document button. If you are a level 3 administrator, you can click the Set up InEight Document integration icon. On the Application integrations page, add your InEight Document URL if it not already added. In the table, select your InEight Document URL and project ID in the same row as your project, and then click Save.

  

• InEight Document attachments (mobile and web – compatible with web version 22.4) – Integration with Document lets you see if supporting documents from the Document application are attached when performing a form or task. Read more

  When performing a form or task with an attachment question, tap [X] photo(s) attached to see the list of attachments. Document links are shown in the list of attachments with the Document icon and document version numbers.

  

  To remove an attachment, swipe left, and then tap the Remove icon.

  

• Sync improvement – Syncing performance has been improved. The amount of time it takes for the initial sync to finish has been moderately improved and all syncs after the initial one now only find new and updated data, which has significantly reduced sync times.

• Save and send views (web only) – You can create views and send them to users and roles. Read more

  In the Events and Tasks pages, you can save the current view based on the applied column filters and the organization and project you are in. To save a view, click the View drop-down menu in the upper right, and then select Save view or Save view as.

  

  To send the view to someone else, click the View drop-down menu, and then select Send view.

  

  Select the users and roles to whom you want to send the view, and then click Send.

  

  When you send a view, you are sending the organization, project, and applied filters defined by the view, not the exact same forms and tasks that you can see. What receiving users see depends on their permissions. If they do not have permission to view all forms or tasks within the parameters, they cannot see them.

• Change status with form and task buttons (web only) – You can change an event or task’s status when you click a form or task button. Read more

  In the template builder, the form and task buttons have a new Change status to option. Use the drop-down list to select a status.

  

  When a user clicks the button, the current form or task changes to the selected status. This feature does not affect the child form or task created by the button.

• Save and start a new task (web only) – You can now save the current task and immediately create a new task with one button. Read more

  When you fill out a task, you can click the Save & close drop-down button in the upper right, and then select Save and start new task.

  

• Assign and start a new task (web and mobile – compatible with web version 22.2) – You can now assign the current task and immediately create a new task with one button. Read more

  When you fill out a task, you can click Assign and start new task at the bottom of the page.

  

• Reference type (web only) – The References dialog box shows the type for each reference. Read more

  In the references dialog box for an event or task, there is a new Reference type column. This column can have the following values:

  • Associated form – Started from a form or task button from within the form or task.

  • Internal reference – Associated with a reference question.

  • External reference – Associated by using the Add References button in the reference dialog box.

• Custom ID increments per project (web only) – When you create a custom ID you can now apply it to all projects so that the number increases separately for each project. Read more

  In the Add custom ID dialog box, on step 2, you can now select Apply this custom ID to each selected project.

  

  When this option is selected, the custom ID number increases independently for each project. For example, if the custom ID starts at CUS-200-ID and this option is selected, when you perform the template twice in Org/Project 1, the ID increases from CUS-200-ID to CUS-201-ID. If you then perform the same template twice in Org/Project 2, the ID also increases from CUS-200-ID to CUS-201-ID independently from the ID numbering in Org/Project 1.

• Assign and start a new task (mobile and web – compatible with web version 22.2) – You can now assign the current task and immediately create a new task with one button. Read more

  When you fill out a task, you can tap Assign and start new task at the bottom of the page.

• Template integration – You can make templates available for integration with other InEight applications. Read moreWatch video

  Template integration is helpful for cases where you need to use a form or task in another InEight application. For example, you might need to complete a task associated with a change issue.

  Template integration currently works only with InEight Change. You can add integrations for both forms and tasks, but only tasks are currently integrated with Change.

  A new Change module has been added to store all tasks used for integration with that application.

  The Add template integration button is in the template Properties tab. To add a template integration, you must have a level 3 admin role and the template must have already been published. If you do not have a level 3 admin role, you can see the Add template integration button, but cannot use it.

  

  When you click the Add template integration button, a dialog box lets you fill out required information, such as the integration title, associated categories, organizations, and products.

  

  To view template integrations for the current template, click the number next to the Add template integration button. To view or edit all existing integrations for your organization, click the Actions button in the upper left of the Properties tab, and then select Manage template integrations in the drop-down menu.

  

  The Template integrations page can also be found in the Product settings tab of Compliance settings.

  

  When a user opens an integrated task from another InEight application, the task opens in Compliance in a new page. When the user completes the task, it is saved in Compliance, and they can continue working in the other application.

• Change module – A new standard module stores tasks for integration with InEight Change.

• Category selection for permissions – When selecting categories to apply for event and task permissions, the drop-down list stays open. Read more

  When you select categories for the Only provide access to own forms/tasks on the event/task list and Allow access to event/task history permissions, the drop-down list now stays open. You do not have to open it repeatedly to add multiple categories.

  

• Events and Tasks page date range – When you first open the Events or Tasks page, the default filtered date range is from 30 days before today to 30 days after today. Read more

  To clear the date range filter, use the filter on the column. You can change the date range to match your desired dates or you can clear the filter on the column to remove the date range filter. Clearing the filter is not recommended because you might experience performance degradation.

• Terms and conditions (mobile only) – Terms and conditions are now shown after signing in for all locations. You might have to acknowledge multiple terms and conditions.

• Print from Events and Tasks lists (web only) – A new icon on the Events and Tasks lists lets you run the Compliance General forms report on a single event or task. Read moreWatch video

  To enable print functionality in a template, go to the template’s Properties tab, and then turn on Enable print functionality. Select which report to run. Only the Compliance General Forms Integration is available.

  The print feature does not contain any permissions associated with the event or task. If you have access to the work item and can print it, you can print all questions and answers in the work item.

  

  To print, select an event or task on the Events or Tasks page, and then click the Print icon in the upper-right of the page.

  

  In a new browser tab, a PDF of the Compliance General forms report opens for the selected item.

Some Compliance mobile 21.10 features are backward-compatible with previous web versions. Backward-compatibility differs by feature and is detailed below.

• Sync profiles (mobile only – compatible with all web versions) – You can choose whether to automatically download events and tasks. Read more

  You can enable automatic syncing in Settings > Sync Profile.

  

  There are separate toggles for events and tasks.

  

  If you install version 21.10 with no previous version installed, the sync toggles are off by default. If you install version 21.10 on top of a previous version with assigned events or tasks, the sync toggles are turned on.

  If a sync toggle is off and you sync your device, work items are not downloaded to your device.

  If you have assigned work items on your device and turn off one of the sync toggles, you are asked to confirm whether you want to remove the work items from your assignments and unlock them on the web.

• People picker enhancement (web and mobile – compatible with web version 21.5 ) – You can select multiple users or none in the people picker question type. Read more

  In the Form and Task builders, the following new options have been added to the People picker question type:

  • Select multiple users – End users can select multiple users.

  • Add Not Applicable option – A Not Applicable check box is added to the question if end users do not need to select a person.

  

  

• Save and close (web only) – When you fill out a form or task, you can save and close or just save without closing. Read more

  When you fill out a form or task, there are now two different save buttons. The Save button lets you save, and then continue working on the form or task. The Save and close button lets you save and return to the previous page.

  

• Reverse form flow cc (web only) – When you reverse a form flow, you can cc users associated with steps other than the step being reversed to. This feature ensures that users are aware that a flow has been reversed to a step before theirs.

• GPS edit lock (web and mobile – compatible with all web versions ) – When a GPS location is automatically entered, you cannot manually edit the coordinates when filling out a form or task.

• Assign user groups to form flows (web only) – User groups can now be responsible for form flow steps.

• Norwegian (web and mobile – compatible with web version 21.5 ) – Compliance is available in the Norwegian (Bokmål) language.

• Common navigation (web only) – The common navigation used across all InEight cloud platform applications has been enhanced for ease of use. For more details, refer to InEight Platform release notes.

• Search on multi-level list (mobile only) – This feature lets you search every level in a multi-level question in an event or task. Read more

  When you select a multi-level list, a search bar shows at the top of the page. When you enter a search term, the search results show list items that match. The parent items of matching items are also shown. You can then see the full hierarchy of search results.

  Your search term must be at least three characters long.

  

• People picker enhancement (mobile and web – compatible with web version 21.5 ) – You can select multiple users or none in the people picker question type. Read more

  Depending on how a people picker question has been set up, you can select multiple users or a Not Applicable check box.

  To transfer a user's assignments, click a username in the User assignments page. In the dialog box, click the Transfer assignment icon next to the role you want to transfer.

  

  In the Transfer user assignments wizard, select the user you want to transfer assignments to. Next, select the categories, organizations, and projects whose assignments you want to transfer. Select either Transfer and close or Transfer. If you click Transfer, you can then select the next user to continue transferring assignments to another user.

  An email is sent to the target user when assignments are transferred.

• Default list values (web and mobile – compatible with web version 21.3) – You can set default values for radio button, check box, and drop-down list questions. Read more

  In the template builder, if you click on an individual value in a list question type, you can select the Default value check box in the side panel.

  

  When filling out the form or task, the default value is automatically selected. This functionality saves time filling out forms and tasks by letting you select a value other than the default if desired.

  Default list values are available only for radio buttons, check boxes, and drop-down lists. Multi-level drop-down lists cannot have default values.

• People picker enhancement (web and mobile – compatible with web version 21.3) – For the people picker question type, you can decide whether to pull users from only those assigned or from all resources in InEight Platform. An option to email the selected user has also been added. Read more

  In the Form or Task builder, the following new options have been added to the People picker question type:

  • Users source – Select whether end users can choose from only assigned users, who have a Compliance role, or all resource users, which includes users who do not have Compliance roles.

  • Display Employee ID – Users' employee IDs are shown with their names.

  • Add ability to send email – The Email section has been added to the People picker question. You can then set up an email to send when a user is selected.

    If you select the option to send email, the Email section becomes available in the People picker side panel. You must set up the email template there.

  

• Default list values (mobile and web – compatible with web version 21.3) – You can set default values for radio button, check box, and drop-down list questions. Read more

  When filling out the form or task, if a default value is set, the value is automatically selected. This functionality saves time filling out forms and tasks by letting you select a value other than the default when needed.

  Default list values are available only for radio buttons, check boxes, and drop-down lists. Multi-level drop-down lists cannot have default values.

• People picker enhancement (mobile and web – compatible with web version 21.3) – Depending on how a people picker question has been set up, an email can now be sent to the user you select.

• Mobile keyboard enhancements (mobile only) – The mobile keyboard checks spelling, suggests text, and automatically inserts a period when you tap the space bar twice.

• Copy sections (web and mobile – compatible with web version 21.1) – You can copy sections when filling out a form or task. This change gives you the flexibility to determine if duplicate sections are needed, instead of creating templates with duplicate sections in advance. Read more.

  In the Form and Task builder, you can let users copy a section by clicking the section header, and then selecting the Enable copy section check box in the side panel.

  You can change the text of the button. By default, it is named Copy section.

  You can enable the copy section option only for sections without mandatory questions, form buttons, or associated tasks.

  

  When you fill out a form or task, use the Copy section button in the section header to copy the section below the current section.

  The Copy section button might have a different name, depending on how the form or task template was set up.

  On the web, the Copy section button is shown in both the upper-right and lower-right of the header.

  You can also click the Remove icon to remove a copied section.

  

• Link event or task after creation (web only) – You can link events or tasks to each other that were not started from another event or task. This change lets you add a reference to items together that were not created together. Read more.

  You can link events or tasks on the Events or Tasks page. Select or open one or multiple items, and then open the References dialog box from the information side panel. In the References dialog box, there is a new Add References button that lets you select existing events and tasks to add.

  

• Copy multiple tasks (web only) – You can copy multiple tasks at once from the Tasks page. Read more.

  If you select multiple tasks, and then click the Copy task icon, copies of each selected task are immediately created. The copies have COPY OF automatically added to the beginning of the title.

  

• GPS in forms and tasks (web and mobile – compatible with web version 21.1) – Forms and tasks can collect GPS coordinates. Read more.

  In the Form and Task builders, there is a new GPS question type. A GPS question lets users give their location information when filling out a form or completing a task on mobile or the web.

  

  When filling out a form or task, a GPS question lets you provide your location by clicking GPS or by entering your coordinates directly in the fields. You can also click Clear GPS to remove information if you need to enter a different location.

  

  To use the GPS button on your mobile device, you must allow the Compliance app to access your location when prompted.

• Settings reorganization (web only) – Settings have been reorganized to include project-level settings. Read more.

  When you open Compliance settings, a new landing page shows with tiles for each module.

  

  When you open a module, it shows the Module summary settings. Tabs for other settings are shown across the top of the page. On the Module summary tab, a menu of additional configurations is shown to the right for you to go directly to, instead of scrolling down the page.

  In the upper-right of all module settings pages, the Project settings link opens project-level settings for the current module. Currently, the only project-level setting is user groups.

  

• User groups (web only) – User groups are used to give access to events and tasks that might be beyond users’ usual permissions. Read more.

  A user group can be used to give access to events and tasks to members of that group, even if they would not normally have permission to view events or tasks in a certain category. Being in a user group also allows group members to show up in the people picker and become a user who can be a responsible party on a task.

  To see and manage user groups for the current project, click Project settings in the upper-right of any module settings page.

  

  On the User Groups settings tab, you can create, edit, copy, deactivate, and delete user groups.

  

  To delete a user group, you must deactivate it first, and then remove all users from the group.

  To give a user group permission to view an event or task, open the event or task, and then click the User groups icon in the upper-right of the page. In the User groups side panel, select the groups you want to give permission to, and then click Save.

  

• Leading logic enhancements (web only) – You can now choose All or Any to apply rules to a logic set. You can also apply the operators Is or Is Not to a particular rule. Read more.

  

• Copy sections (mobile and web – compatible with web version 21.1) – You can copy sections when filling out a form or task. This change gives you the flexibility to determine if duplicate sections are needed, instead of creating templates with duplicate sections in advance. Read more.

  When you fill out a form or task with a section that can be copied, use the Copy section button in the section header to copy the section below the current section.

  The Copy section button might have a different name, depending on how the form or task template was set up.

  You can create custom IDs for a template by opening the template’s Properties tab, and then clicking Manage custom IDs in the upper-left of the page. In the Manage custom IDs dialog box, click the Addicon to open the Add custom ID wizard.

  

  To create a custom ID, you can use any combination of Prefix, Starting number, and Suffix fields. Each of these fields can be up to 10 characters long. Prefix and Suffix are alphanumeric, and Starting number is only numeric. You must then associate the custom ID with organizations, projects, and categories.

  You can also assign multiple custom IDs to one template and add or remove properties for existing custom IDs.

  Custom ID is also a new column on the Events and Tasks pages.

• Global view (web only) – You can view the Events and Tasks pages by filtering outside of the current navigation. Read more.

  On the Events and Tasks pages, you can click Global Events/Tasks in the upper -right of the page to go to a new view that is outside of your default hierarchy. The global view lets you see events and tasks outside of the organization or project you are currently viewing. You can use the query builder to narrow or expand your view according to module, organizations, and projects you are assignments to.

  

• Events and tasks bulk edit (web only) – The Events and Tasks pages now let you edit properties in bulk after selecting a single template, saving you time from editing individual events and tasks. Read more.

  You can select the check boxes of multiple items on the Events or Tasks page, and then click Edit propertiesin the upper-right of the page to change field values for all selected items. The Edit properties dialog box lets you select the properties you want to change and their new values.

  All the selected events or tasks must be from the same template and you must have permission to edit them.

  

• Mandatory multi-level selection (web and mobile - compatible with web version 20.11) – You can set a level of a multi-level list as mandatory. This mandatory level determines how many levels down users must expand the list to make a selection, instead of just clicking through without expanding the list beyond the first level. Read more.

  For a List question whose Type is set to Multi-level drop-down, a Mandatory required level check box is now available. If you select the check box, users must then select a level from the drop-down list when filling out the form.

  

  When filling out a multi-level list question with a mandatory level to select, you are only able to select a level at or below the mandatory level. No check boxes are shown at levels above the mandatory level.

  

• Event and task references (web only) – Existing events and tasks are available to select as references in other events or tasks. Read more.

  Reference questions now have a new Event/Task type that lets users select one or many events or tasks in the same module.

  

• Role access enhancement (web only) – You have more options to manage access to whole template sections instead of just individual questions. Read more.

  In the template builder, when you edit a section there is a new Manage access button in the side panel. The Manage access button opens the Manage access dialog box, which lets you determine who can view or edit each section and individual question in the template. View and edit permissions are now set separately, instead of together.

  

  You can manage access for all sections and questions in a template in the dialog box. It does not matter which section you chose when you clicked the Manage access button.

  

• Re-enable form flow (web only) – You can re-enable a form flow after a form is completed to give you the option to restart a form flow while maintaining existing data. Read more.

  You can let users re-enable a form flow in the Form Flows tab of a template by selecting the Re-enable form flow on completed eventscheck box.

  

  When you open the event after it has been completed, you can click the Re-enable form flow button in the upper-right of the page. When you re-enable a form flow, you can move it back to the step of your choice. All step data is saved from previously completing the form flow unless you change an answer in a way that leads to different questions based on logic.

  If you re-enable a form flow, only the selected form flow is re-enabled, not all form flows associated with the template. If a re-enabled form flow leads to another form flow that is not re-enabled, you cannot see the other form flow.

  You must have permission to edit completed events to re-enable a form flow.

  

• Number question type enhancement (web and mobile - compatible with web version 20.11) – A phone number option has been added to the Number question type.

• Mandatory multi-level selection (mobile and web - compatible with web version 20.11) – A level of a multi-level list can now be set as mandatory. This mandatory level determines how many levels down you must expand the list to make a selection, instead of just clicking through without expanding the list beyond the first level. Read more.

  When filling out a multi-level list question with a mandatory level to select, you are only able to select a level at or below the mandatory level. No check boxes are shown at levels above the mandatory level.

  

• Number question type enhancement (web and mobile - compatible with web version 20.11) – A phone number option has been added to the Number question type.

• Auto assign per project attributes (web only) – You can define attributes per project to assign user assignments and template associations automatically to an alternate hierarchy. Read more.

  You can set up an alternate hierarchy separately from the default organization and project hierarchy in the InEight cloud platform. You might want to do this if you share templates and user permissions across projects that do not follow the default hierarchy. For example, if your default hierarchy is organized into legal entities for financial reporting purposes, you might want to create an alternate hierarchy based on project locations. A project in the Infrastructure division might want to share templates and user permissions with a project in the Energy division because both are in the Western region.

  To set up an alternate hierarchy, you must first define attributes at the organization level. After defining attributes, you can then associate those attributes at the project level with other projects or organizations. You can associate attributes by editing a project’s Attributes tab.

  To extend templates and user permissions via alternate hierarchy, go to Settings > Compliance, and then open a module’s Module summary tab. In the Alternate hierarchy section, select attributes from the drop-down lists.

  

  Template associations and user permissions are applied to all future child organizations or projects of the attributes you select. These associations are additive, so if you remove the attributes, the associations themselves are not removed.

• Template translation (web only) – Export and import functions have been added to allow translations in the available languages to be applied to a template, giving you a quick and easy way to enter translations. Read more.

  In the Properties tab of a form or task template, there is a new Template language settings section. In this section, you can add supported languages to the template by clicking Exportto download a Microsoft Excel spreadsheet.

  

  The spreadsheet includes columns for each language, rows for each template question, and section to type individual translations. You can then import the spreadsheet to upload all your translated questions and sections in bulk.

  

  The Export and Import buttons are enabled only after you publish a template.

• Reporting tags (web only) – Reporting tags are defined per module to be assigned to questions in a template. These tags drive permissions when running reports. Read more.

  Reporting tags can be assigned to users and template questions to define who can see reporting data on those questions.

  You can add and remove reporting tags in Settings for each module in the Module summary tab.

  

  In the User assignments tab, the Add icon has a new drop-down menu option to add reporting tags. In the Add reporting tags dialog box, you can select users and then select reporting tags to assign to those users.

  

  You can also remove reporting tags from users by selecting users and then clicking Remove reporting tags in the upper-right of the page.

  

  You can assign reporting tags to questions in the Form builder and Task builder in the Access section of the side panel.

  

• Hide templates (web only) – You can hide templates from being started as stand-alone forms or tasks. When hidden, these templates can be used only through association with the Form Button. Read more.

  You can hide a template by turning on the Available through form button only? toggle in the Properties tab of the template.

  

• Kiosk source(web only) – When forms are synced to the web from the mobile kiosk mode, they are indicated on the Events page in the Source column with the value Kiosk.
• Form Button enhancement(web only) – You can choose the current template as a choice when using a Form Button in a template.
• Extend project display(web only) – Your chosen global project display options are applied to all areas in Compliance that show organization structure, such as user assignments and template associations.

• Kiosk mode (mobile only - compatible with all web versions) – This new mode for offline use with the mobile application lets anyone perform tasks or events, even if they are not users in the system. Read more.

  You can turn on kiosk mode on your mobile device by going to Menu > Kiosk Mode, and then turning on the setting.

  

  When Kiosk Mode is on, most of the application is disabled. You can only fill out and submit forms or tasks.

  If you want to limit kiosk mode to a default project, module, or category, you can set those in Menu > Settingswhen kiosk mode is off. After you set defaults and turn on kiosk mode, you can only see forms within the default settings.

• Negative numbers(mobile only - compatible with all web versions) – Negative numbers are allowed in number question types in events and tasks.

• To do list (web only - previously only available on mobile) – The module landing web page now shows a week’s view of your current assigned and pending tasks and scheduled or pending events, giving you a single place to see what is assigned to you. This feature was previously only available on mobile. Read more.

  When you open a module in the web application, the top of the module’s landing page now has a To do list showing the events and tasks assigned that you need to complete in the current week. You can click the arrows to the left or right to move forward or backward one week at a time or click the month name to go to a specific month and week.

  

  Events are shown in dark gray and tasks are light gray. If you click an event or task, a box shows you the item’s name and reporter, a High importance icon to mark items of importance, and an Edit icon.

  There is also a new Importance column in the Events and Tasks pages to show whether items are marked as high importance.

  

  If you click the Editicon, a dialog box opens where you can edit basic information about the event or task.

  

  When events or tasks are overdue, their text color changes to red. At the bottom right of the To do list, you can see how many overdue events and tasks you currently have.

  

  If you have more than a few events or tasks assigned in one day, click View all to see a list of all your assigned items for that day.

  

• Automatic user assignment (web only) – There is a new setting for each module that uses InEight Platform user settings to apply Compliance assignments, saving you administrative setup time for each user. Read more.

  In the settings for each module, in the Module summary tab, the Configure automatic user assignments section has been added. In this section, you can select a role and categories to automatically assign users from the drop-down menus.

  

• Event and task history (web only) – You can now see the history of all changes made to an event or task that is being performed. Your user security settings determine the changes that are shown. Read more.

  You can select an item from the Events or Tasks pages and see the history of it. Click the Form information or Task information icon in the top right, and then click Historyin the slide-out panel.

  

  The History dialog box shows changes to the event or task in table with columns that you can sort and filter.

  

• Schedule events and dates (web only) – You can now schedule an event for the future, assign a user, and set an event date. If the event date is passed, the event state is changed to overdue. Read more.

  On each module landing page, if you click Schedule form in the top right of the Forms box, a dialog box opens where you can select a form and details like category and reporter. You can also schedule the event to recur.

  

  

• Exclude weekends (web and mobile) – When you schedule an event or task, you can now exclude weekends, which might better align with your business processes. Read more.

  When you click Schedulefor an event date or task due date, you can select the Exclude weekends check box to remove Saturday and Sunday from the repeat options.

  

• Not Applicable icon (web only) – The Choice question type has a Not Applicable icon options, so you can easily add an N/A option without typing it separately. The N/A option was previously only available for text choices. Read more.

  In the Choice question type side panel, under the Details section, if you select Iconsas your Display type, the Add N/A (Not Applicable) option check box is now available. When you select this check box, a Not Applicable icon is added to the bottom of the list of options.

  

• Attachment column (web only) – A new column has been added to the Events and Tasks pages that shows whether there are any attachments. When you click the attachment icon, a dialog box shows thumbnails of the attachments for quick viewing. Read more.

  The Attachment column is the first column in the Events and Tasks pages after the selection check boxes. If there is a View Attachments icon in the column for an event or task, you can click the icon to open a dialog box that shows thumbnails of all the attachments.

  

• Form flow step responsibility(web only) – A new column has been added to the Events page that shows who is responsible for the current form flow step.
• Save reminder(web only) – When editing a template, you are now shown a reminder every 10 minutes to save your draft.
• Edit default role names(web only) – You can now edit the names of default roles to better match your business processes.

Some Compliance mobile 20.7 features are backward-compatible with previous web versions. Backward-compatibility differs by feature and is detailed below.

• Exclude weekends (mobile and web - compatible with all web versions) – When you schedule an event or task, you can now exclude weekends, which might better align with your business processes. Read more.

  When you schedule a task on your mobile device, the Exclude weekends toggle is shown on the Schedule page.

  

• Mobile attachment name (mobile only - compatible with all web versions) – You can now add a photo from your mobile device and define a name for that photo to show in the event or task, so each attachment can be identified. Read more.

  When you attach a photo to a form or task from your mobile device, an Edit icon now appears to the right of the attachment name. If you click on the Edit icon, a dialog box lets you rename the attachment file to be more meaningful.

  

• Sync events in advance on mobile(mobile only - compatible with all web versions) – You can now load events assigned to you to a mobile device to fill them out offline. The Sync in advance setting previously loaded only tasks but has now been expanded to load events as well.

• Form flow – Now you can add workflow functionality to any form template, which lets responsible parties be actively engaged in an event’s process life cycle. Multiple form flows can be added to a form template to suit your business processes. Read more.

  Form flows are managed in the template builder as part of form templates. You integrate a form flow with its form by using the new form flow question type, which is tied to each form flow step. After you add a form flow to a template and kick off the flow, you can view its current status at any time on the Events page.

  • Builder– The form flow builder lets you add steps, assign responsibilities to roles or users, specify the actions that will change form statuses, and set edit and view access for each step. Read more.

    You can get to the form flow builder by opening the new Form Flows tab in the Form builder for an individual form template. You can also get to the builder by adding a form flow button and selecting Step setup. See New button type for more information.

    The Form Flows tab shows you all the flows associated with the form template, gives you the ability to create new flows, and shows a quick view of each flow’s steps with the ability to add or edit step details.

    

    You can create a new form flow using the Create form flow button, which opens a dialog box where you must enter a name and description. After you have created a form flow, you can edit its name or description in the panel on the left side of the page.

    Steps

    When you add or edit a step, you can set many options to determine responsible parties, what happens when they act on the step, and who has access to view or act on the step.

    Details

    The Details section of the step side panel lets you set basic information like an associated form flow button and a step name. For the first step, these are the only details you can set.

    For additional steps, you can set more options, such as whether the step can move to the next step when any or all of the responsible parties complete the step. You can also set whether the responsible party is the original reporter, a specific user, or a role. If you select a role, you can also set whether the user can choose an individual from the selected role to be responsible.

    

    Actions

    The Actions section lets you set which status the form changes to when this step is completed. You can also make the step reversible, which gives users a special button to revert back to a previous step. Users can also be required to add a comment when they reverse a step.

    You can choose when the form becomes overdue by setting how many days from either the previous step or the date the flow was initiated.

    

    Step access

    The Manage step access window lets you decide which roles have the ability to view or edit each form flow question or entire sections.

    

  • New button type – The template builder’s new Form Flow button kicks off flows and completes flow steps. Read more.

    The new Form Flow button type lets you add buttons that either start form flows or complete flow steps. Like a regular form button, you must add button text and can add optional supporting text, in addition to restricting access to certain roles, defining conditional logic to show or hide the button depending on other questions, and adding email notifications.

    When you add a form flow button, the Step setup button takes you to the form flow builder to select a step from an existing form flow to associate with or create a new flow if none exists.

    

  • Current status view – You can view a snapshot of an event’s current form flow status, such as which step it is on, who needs to perform actions, and the number of days until the event is overdue. Read more.

    In the Events list, if you select an event’s current status, a new dialog box opens to show information about the form flow. This box gives the following overview information on the left side:

    • Current step
    • Current status
    • Current state
    • Days until the form is overdue
    • Total days the form has been open
    • Estimated form completion date

    The rest of the box shows steps, which increase from left to right. If there are multiple pages of steps, you can move between pages on the bottom of the dialog box.

    For each step, the step name, its start date, and responsible parties are shown, in addition to their roles.

    

    Responsible parties have colored bars according to their sign-off status for each step:

    • Green: Complete
    • Yellow: Pending
    • Red: Overdue
    • Gray: Step not started

    Depending on how a step is set up, you may also be able to select different users to be responsible parties.

    

  • Start on mobile – When completing an event on a mobile device, you can start a form flow’s first step and then complete remaining steps on the web. Read more.

    You can start a form flow from a mobile device by tapping the form flow button, which is indicated by an arrow.

    

• Form integration tag – You can now add an integration tag to a form template which flags that form to be included in reporting. Specific questions in that form with the same integration tag are then reported on. Read more.

  You can assign an integration tag to a form template in the Options section of the Properties tab.

  

• Label only text question length– The Label only type for text questions has been increased in length from 500 to 4000 characters.

Compliance mobile version 20.2 is backwards-compatible with web versions 19.11 and 19.9.

• Persistent association to parent organizations and future children – This feature lets you associate templates, modules, and users to a parent organization and all its children with one click. The association can also persist through to any new children (suborganizations and projects) that get associated after the original selection, so you don’t have to manually add each new project. Read more.

  Changes have been made to how you associate organizations and projects for form and task templates, user assignments, and module organization. This functionality has been expanded so you can associate parent organizations and their child organizations and projects with a finer level of detail and in various combinations.

  In the Module organization settings, there is also a new toggle to View excluded jobs.

  New association options

  The following three sections explain the new actions you can perform when association organizations and projects.

  Select only the parent organization

  When you select a parent organization, only that organization will be selected. If the parent organization has child suborganizations or projects, those children will not be automatically selected when you select their parent. This change gives you the flexibility to fine-tune which children to associate.

  Select or Deselect All child organizations or projects

  New Select All and Deselect All buttons have been added for each parent organization with children. When you use these buttons, only the children are selected or deselected. The parent organization is not affected.

  

  When you select all, only existing children are selected. New projects will not automatically be selected unless you use the Future Children option. See the next section for more information.

  Persistently associate future children

  A new + Future Children button has been added for each parent organization. If you enable this option, all new children of that parent will automatically be selected. This option prevents having to constantly select each new project when you create one.

  

  The + Future Children option works independently of the Select All option. For example, if you want to select all future new projects, but not necessarily all existing ones, you could select a few existing projects, or none, and still enable + Future Children.

• Multi-level drop-down question type – A multi-level drop-down option has been added to the list question type. The updated user interface also allows better management of list items for greater control of data in the database. Read more.

  List questions now have a new option under Type called Multi-level drop-down. A multi-level drop-down list can be nested at several levels. This type may be useful for displaying a complicated organizational structure.

  The List options window lets you organize list options manually or through Excel import.

  Within the window, there are buttons to add and remove options, as well as move them up and down the list, and into and out of other options to create a hierarchy.

  

  To import from Excel, you should first Download multi-level list starter template. The template has one Example sheet with instructions on how to use it. You can then fill out the Import sheet with list options for as many levels as necessary.

  

  After you save the template, you can browse for it in the List options window and import the file. You can then make further edits to the list in the window.

• Classifications – Classifications let you apply logic to sections in a template to better facilitate a form process for the end user while filling out an event. This feature hides or shows sections and their questions based on the logic applied for a classification association. Read more.

  You can manage classifications in a new tab in each module’s settings.

  

  After you add classifications, you can apply them in the template builder for responses and sections. If you apply the same classification to a response and a section, when a user selects that response, the associated section is shown. Classifications can also be used to filter data in the events and tasks lists.

  To apply classifications, select a response option or section header and open the Logic section in the side panel.

  

• Section navigator in builder – You can now easily navigate through the template builder with a section navigator, instead of having to scroll to find sections. Read more.

  In the template builder, you can now use the same section navigator that is available when performing a form or task. If you select the section navigator icon, a side panel appears with links to all the form’s sections.

  

• Template description– You can now add a description to a template after creating it. The description also shows on the card in the template library to further define the reason the template was created.
• Dutch language localization– Language settings have been added for Dutch, expanding the options for localization.

• Tasks– You can create, assign and work on tasks to take actions required in addition to filling out forms. Tasks give you easily configurable actions to take to suit your business needs.

  • Builder – The new builder allows you to create task templates. Starting with predefined mandatory fields will make template creation easier than before. Read more.

    The Task builder is very similar to the Form builder, with some important differences. You can access the Templates manager from the same Templateslink in Settings that you use for forms. There is now a toggle in the top left of the Templates manager to switch between forms and tasks.

    

    When you create a task template, the builder includes several mandatory questions, which can be moved around but not deleted:

    • Task title
    • Description
    • Responsible party – This lets the user pick the person who is responsible for this task.
    • Due date – This lets the user schedule a due date that can be repeated with any frequency during a time period or after a specific number of occurrences.
    • Assign button

    When you create a template, you can also set whether the task will be available on mobile or whether it has an expiration date. If you add an expiration date, you can also add a renewal date.

    

    You can add any number of additional questions and sections to a task template in the same way you can add them to a form template.

  • Lists– You can see all tasks in one list that shows the responsible party, due dates, statuses and more. You are also able to start stand-alone tasks directly from the module landing page, saving time in task creation. Read more.

    For each module, there is a Tasks list that is similar to the Events list.

    Web

    On the web, you can get to the Tasks list through the Taskslink for each module on the Compliance landing page, or through the All tasks link in the menu on the left side of a module’s landing page.

    

    You can also toggle between the Tasks and Events lists by clicking the drop-down menu in the top left of each list page.

    

    On the module landing page, there is also a more compact list of Tasks next to the Forms list. This list lets you sort by category and start a task from within the list.

    

    Mobile

    On a mobile device, you can see lists of tasks on the Templates screen for each category under each module in the Projects tab in the same way that you can see lists of forms. After you select a project, module and category, there is now a toggle on the Templates screen to select whether to view Forms or Tasks.

    

    You can also see lists of tasks assigned to you or saved to your device in the mobile To-Do List. See Mobile To-Do List for more information.

  • Web and mobile functionality– You have multiple ways to perform tasks on the web, including as stand-alone items or from within forms using the quick start tasks list or from an event or task itself. Mobile tasks have all the same abilities as performing tasks on the web with the added ease and efficiency of offline use. Read more.

    After you open a task from the Tasks list or the quick-start list on the module opening (see Task lists for more information), you perform a task in a similar way to how you complete forms.

    

    

    A notable feature new to tasks is the ability to schedule them to recur with any frequency. When you select Schedule, a window (or screen in mobile) opens with options to set the task to repeat daily, weekly, monthly or yearly, on any day or days of the week and to start and end on any dates of your choice. You can also set the task to end after a certain number of occurrences.

    

    

    After you set your schedule options, a recurrence icon appears next to Schedulewith your chosen frequency.

    

    If you schedule a task to recur multiple times and then edit one of the tasks, you are asked whether you want to save your changes for only that task or all scheduled tasks in the recurring series.

• Sync in advance on mobile – In Settings, you now see a sync settings area that allow you to sync items from the web to your mobile device one, two or three weeks in the future to complete them offline. This feature allows tasks to be available on mobile when they are assigned and ahead of time, so they can be completed offline. Read more.

  You can sync tasks between your mobile device and the web a specific number of days before their due date. This feature makes tasks available for you to work on before they are due.

  On the Settingsscreen, you can set Sync In Advance to 7, 14 or 21 Days in the future.

  

• Referenced forms and tasks – When you create a task from another task or event, you now see the referenced item in both associated tasks or events, letting you see which events and tasks are associated. You are also able to start a task from the section area of an event, not just a question, which is useful for reporting purposes. Read more.

  You have several ways to associate forms with tasks, forms with other forms, and tasks with other tasks. These associations establish references linking these items together.

  In the Form builder and Task builder, you can add a Form Button, set its Type to Formor Task, and select a form or task template to open. When a user selects this button, the associated form or task opens to be filled out and establishes a reference between the items. The Form Button can be set to Single-use or Multi-use, depending on how many times you want the user to be able to associate the form or task.

  

  You can also let users start a task from a section header instead of a specific question. To do so, select Associate task under Details in the Section slide-out.

  

  On the web, when you start a task from within another task or event, you can fill out fields in a compressed side panel instead of the full screen. You can then get back to completing the original task or event without switching screens.

  

  On mobile, when you start a task from within another task or event, you fill out fields in a new screen with a Back button to get back to completing the original task or event.

  

  There are several ways to see how many references an item has, and which items they are. When you create an associated task or event by selecting a button, the number of references appears next to the button when you view the item from the Events or Tasks lists on both the web and mobile.

  

  On the web, if you select the number of references, a window appears with lists of the associated events or tasks.

  

  You can view the same lists of associated events or tasks by selecting Events/Tasks from the information panel from either the Events or Tasks list or within the event or task itself. You can also show the References column in the Events and Tasks lists to see the number of references for each item. You can select the number in the References column to see a list of associated events or tasks.

  

• Attachments association – You can now see all attachments associated with an event or task by using the attachments link in the details panel from the events and tasks lists or from the event or task itself. Previously, you had to open each question to see an attachment. Read more.

  You can get to the Attachments list from the information panel in either the Events or Tasks list or within the event or task itself.

  

• Due date and overdue state– You can assign tasks a due date. After these dates pass, they will automatically become overdue. Seeing which tasks are overdue in their list gives you a visual indication of their state.
• Assigner and Responsible party on task list– Assigner and Responsible party columns have been added and allow you to sort and filter on each type in the list. These columns let you easily associate these names with tasks in one list.

• Email templates library – The email templates library allows you to customize the standard product email notifications that are sent following specific actions such as task assignment or overdue items. Previously, you were given a set of standard email templates that might not have covered every scenario suited to your organization. Read more.

  The Email templates library can be found in Settings for each module. You can select any of the standard templates to edit them.

  

• Email notifications– You can receive an email notification of assigned tasks when you are designated as the responsible party as well as an email when the due date has passed. These emails are easily configurable for your organization to customize your message.

• History logs – History is kept on any changes made to users, roles and templates. Presenting history in a grid will allow you to easily sort and filter data for auditing. Read more.

  You can view history logs of changes made to roles and user assignments by selecting an individual item in Settings and opening the Historytab.

  

  You can get to the history log of a form or task template by opening the item in the Builder and selecting the Historytab.

  

  The history tabs for these items show changes that were made, who made the changes and when.

• Read only role– This role comes automatically with the tool to allow users to access the system but not perform actions such as filling out forms or tasks. You are also able to turn any role into a read only role. This enables the role permission to view anything with their assignments. Previously, there was no role that allows users to view data without the ability to affect it.

• Copy events – The ability to copy an event and all associated tasks and attachments is useful when you have many tasks and attachments that mimic the last event, such as an environmental permit event. Read more.

  You can now copy events by selecting an event and then the new copy icon, which opens a series of pages to copy an event’s basic details, attachments and tasks.

  

  You can change the content of any of the fields on the Details tab, such as Event title and Category, to customize the new event to your needs. You can also select and deselect attachments or tasks to copy into the new event.

  The Tasks tab also lets you preview associated tasks before you decide whether to copy them. You can also fill out a selected task in the tab while previewing it.

  

• Mobile To-Do list – The To-Do list on mobile shows assigned tasks as well as saved events and tasks. By using the advanced sync option, you can pull your scheduled forms and assigned tasks from the web to your mobile device. Read more.

  Events and tasks appear on your mobile device under each module in the To-Do List. This list is separated into two tabs for those Assignedto you to complete and those you have Savedto work on later.

  

• Scheduled status– With the introduction of tasks, you can now see a standard product status of Scheduled, which shows you when a task is assigned.
• New permissions in roles– New permissions have been added to control the following abilities:
  • Sending notifications– This permission is to send notifications within the system to roles and users from the events and tasks lists. This restricts you from sending notifications to only the projects you are assigned to.
  • Copy events and tasks– This permission is to copy events and tasks from the event and task lists. You can use this permission to control who can create new events and tasks by copying existing ones, which may be necessary only for certain roles.
• Passwords on mobile– The mobile app now saves passwords for quicker log-in.
• Locked tasks and events- When a task or event is scheduled, you can download it to a mobile device. After being downloaded, the task or event is locked so that there is no discrepancy between web and mobile, giving you one source of truth.
• Location column on task screen– The location column shows whether a task is on the web or mobile, so you can identify whether a task is being worked on a mobile device.
• Assigner and Responsible Party on email templates– You can assign to, and email, the responsible party or reporter and the person who assigned the task. Previously, you could only select a specific person or role to be the recipient, and you may not have known who the assigner or responsible party is.

• Template section navigator – A new icon has been added to form and task templates that lets you navigate to specific sections quickly, which saves time scrolling. Read more.

  The new template section navigator icon is in the top right of the Form and Task builders. When you select this icon, a side menu opens with the current form’s or task’s section names. You can select each section name to navigate to that section.
