In this video, we'll walk through how to create a form flow within the InEight Compliance and Completions products.
With a form created, and knowing whom the form needs to be directed, you can now create a form flow.
As an employee provides a tour to a prospective customer, the Tour Information section gets created first, and a form flow button is added. In this example, one person is providing information to another person.
That person, the employee's manager, will either view the completed form online in the All Events tab, or they'll receive an email from the employee triggering the manager to pull up the event for more information.
To create a form flow, you'll need to add the Form Flow button to the template, where the user will use it for an action to send it to the next step in the form flow.
After opening the Form Flow button question in the Detail section, you name the button what's going to happen as a result of clicking the button. This becomes more important as your form gets more complex.
After you've added all of the form flow buttons to the template that you need to work it through the process, You can save the template and click on the Form Flow tab at the top of builder.
As you enter this tab, no form flow exists. Click the Create Form Flow button.
In the pop-up, add the form flow name and description, click Create.
Click on Step One.
You'll indicate which form flow button will be used for this step and who's responsible for this step. In other words, who will be the user to execute this button when filling out the event?
Keep in mind, the original Reporter is the originator of the report, and the Form Flow Initiator can be someone other than the original reporter.
You'll be able to send an email at every step. Email on the steps will send only to the responsible parties to the step. And will be the indicator that they have an action to perform on each event. Click Close when done.
Moving to the next step in our simple example, click here to add another step.
In step two, you'll define who the step will move to once the button is executed in step one.
Click Next. Then determine if you want an email to be sent.
Then click Next again. Define what the status will be while the form flows is in step two, and how many days until this step becomes overdue.
In this example, step two can either push the form flow forward to complete the flow, or reverse it back to the first step to start the flow again.
To do this, you'll set the form flow to be reversible in the Actions area of step two details.
You can also select the ability to require a comment when reversing the flow.
This will send an email to the users of the step you're reversing it back to.
As a side note, if you set the form flow to reverse, you'll need to go back to the Builder tab and title the Reverse button that's placed in the template for you.
Within Step Access, you can manage who can view and edit each item pertaining to this step in the process.
In Button Details, you'll have the choice to select if this is the last step in the form flow. Since in our example, this is the last step, We'll choose Yes in the options for "Will this button complete the form flow?"
By default, this step is set to the Completed status as that's what this step will do.
When the Form Flow box has a green bar, you'll know it's complete.
Return to the Build tab, save your work, and publish your form.
When on the events list, you may view where in the flow the event currently is by clicking on the name of the status.
This will pull up the InEight Form Flow dialog box and will show you the information of the form flow in any step configuration.
