Introduction to Document Integration
Welcome to InEight Design!
This video shows how to manage the association of documents from InEight Document with scope items in Design.
The association of proper documentation with scope items can be crucial for effective status and progress reporting on deliverables.
First, Document integration must be set up on your platform, typically by an administrator at your company.
Under Suite administration > Application integrations, for Document, the InEight Document URL and project must be set up to sync with your project.
For additional info on how to set up Document integration, see the Document-Platform Application Integrations guide in the Knowledge Library.
Next, under project settings, for Design under Engineering Documents.
Document integration must be enabled.
If you plan to keep your scope items synced up to document claiming, enable that toggle as well.
Also, make sure your document types are selected and moved over so they appear in your Document window for mapping.
With Document integration set up, let's look at how to associate documents to scope items in Design.
Once the integration is enabled, the Associate documents option becomes available in the Actions drop-down menu on the Scope items register.
Select the Mapping tab to start the mapping process.
You will notice two distinct panels, one for scope items and another for documents.
To import all documents from the Document register in InEight Document, click the Sync button in the Documents panel.
Know that the types of documents are included based on what was listed in project settings by your project admin.
To map one scope item to multiple documents, select this button, then select the item and documents.
Once your selections are completed, click here to map.
Click here to associate a single document to multiple scope items.
And here to map your selections.
You have the choice to hide items that have been mapped so you can only see those which have not.
For a detailed view of a specific document, click on the document number link in the documents panel.
This action opens and displays the document in InEight Document.
Remember to regularly synchronize the Documents panel by clicking the Sync button. This action ensures that any new or updated documents from InEight Document are incorporated. The panel also shows the last sync status here.
In cases where mapped documents are removed in InEight Document, an alert will appear at the top of the page showing the number of documents no longer existing.
You have the option to view and remove these deleted documents by selecting Remove mappings.
For an overview of the associated documents for a scope item, click on the specified account number.
This opens the associated items window, displaying all linked items. To view these associated items in a grid format, you can click here.
The associated items show up in their own register. You can view any associated document by clicking its document number link in InEight Document.
You can do the same to view scope items associated with your documents by clicking here.
You can also view associated documents from a scope item's record. Click here to go back to the Scope items page, then select and open the scope item you associated the documents to.
The slide out panel opens for you to view and manage the associated documents.
Here, you can select the document to view it in document, and you can unlink it if you choose.
To view a summary of your associated documents, select Actions > Associate documents again, then click on the Summary tab.
This page functions similarly to the work package feature, but with a notable distinction. You can expand the documents to view associated scope items.
The percentage of completion is computed in the same manner as for work packages. This involves examining hours earned over the cumulative total man hours to derive the percentage completion. The calculation applies to both labor and cost estimates. The same principle is applied to dates.
If multiple scope items are present, the system aggregates the dates and displays the earliest one.
At the bottom of the screen, you'll find a summary for all documents listed in the Document register.
This compilation serves as an update for the document owner, offering a comprehensive view of the associated scope items.
That covers how to associate InEight documents to scope items and review how scope values roll up by document on the Summary tab in InEight Design. Thanks for watching.
