This video demonstrates how to set up a project structure in the InEight suite. The project structure helps you create and manage a hierarchy of project data consisting of project values, disciplines, and commodities that are essential for your project. This hierarchy can link to processes in the InEight suite of products. It enables your project team to organize and track progress, risks, and other crucial information at various levels within the project structure throughout its lifecycle.
Defining the project values before setting up the project structure is essential. We recommend to watch the video on how to define Project Values from the InEight Platform video page in the Knowledge Library. As a project administrator with proper permissions, you can create the complete project structure with any or all of the project values defined for your project. From the Main menu, select All Projects and Organizations.
Choose a project. The project homepage opens. Scroll down, select project structure. The Project definition window opens.
Click the drop-down menu. Here is a list of project value types assigned and made available to the project in the master data level. Users with proper permission can add any project value types, including discipline and commodity items defined at the master data level. Let's define a basic structure by selecting the first level Area.
Click the plus icon to add more levels. Select System. Add Subsystem and add another level segment. To delete a level, click the minus sign here.
When ready, click publish. Once published, you cannot delete or modify the definition of your created structure. Therefore, it is essential to understand how you want to set up your structure before publishing. To accept, click I understand.
The available parent level project values appear in the structure. Click the structure definition to see the project hierarchy. You may be unable to modify the existing structure, but you can add additional project value types and relationships. As an administrator with the proper role and permissions, you can add and edit additional project value types with attributes in the master data library and assign them at the project level.
Next, let's add discipline and commodity to the structure. At the bottom of the structure definition, click the drop down to select discipline and click the plus icon to add it. Then add commodity. Note that you can have a maximum limit of nine hierarchy levels.
When done, click publish. Now, you can assign the predefined project values to the project structure. This step presents the structure of the child parent relationship. Click the assign node icon next to area one as the parent level.
The Assign system prompt window opens. Select and assign the first child level, System one. Click the arrow and select the Assign button. Click the System node here and assign the next child level subsystem.
Next, under subsystem, select and assign the desired discipline from the list. Next, select and assign the available commodities under the next level from the structure. The newly assigned items have been added to your project structure. You can import data into a project structure using a newly created spreadsheet or export it from another project using the InEIght template.
This feature allows you to import one specific project structure level at a time. In this example, click the import icon at the top. Select Commodity. The Import project structure data window opens.
If this is your initial setup, please download the project structure template here. Click browse to choose the desired spreadsheet. In the spreadsheet, a new commodity item was added. Then, click on import.
The imported data has now been integrated into the project structure. Refresh your web browser to see the changes. Let's define Project values in another structure. Select the node next to the parent level area two.
Click and assign System one and two as the first child levels. Next, select the node for System two. Assign subsystems one and two. Next, assign Disciplines to Subsystem two.
Select Contingency. Assign the Commodities. Each entity in the Project structure is assigned the available status. Once added to the hierarchy, an item cannot be changed or removed.
Instead, suppose a couple of project value items in the structure are no longer needed. In that case, changing their status to unavailable allows you to hide them from the structure and only show available items using the hide unavailable toggle. In the status column, select Area one status to be unavailable. Next, under Area two, select Contingency.
And, click on Available. Both project value items are now hidden and inaccessible. Let's bring back the project value item area one to be accessible once more. Click the Hide Unavailable toggle here.
Select Area one and click the status two available. Click yes to have all the contents accessible. Area one and its contents can now be accessed. The status feature provides added flexibility for maintaining Project values and acts as a recorded data history in the Project structure.
Click the hide unavailable toggle to only display accessible project value items in the project structure. Another way to manage project data is to export it to a spreadsheet. At any time, you may select a specific project structure level. From the top right, click the export icon here.
Select Discipline. The exported spreadsheet is now ready to be updated. Once you complete this step, you can import the updated spreadsheet into the project structure. Well, that covers how to create a project structure with project values.
