A master agreement is a special type of contract you can use to lock in pricing or terms with a vendor that you'll write contracts and purchase orders against later. Before using a master agreement, you'll wanna make sure that a master agreement contract type is created and configured by an administrator under the organization settings. When configured correctly, the contract types toggle will be turned on for "Is this a master agreement?" to enable this contract, type to be a master agreement.
Then additional configuration can be done for other contract types to allow them to be associated to the master agreement by toggling there "Allow association to master agreement" switch to on. If the allow association to master agreement is off, those contract types will not be available for association. Let's get started. From contracts, select the master agreement tab and select the add master agreement icon.
Complete the fields in this dialogue box and then click add. Notice. This page looks similar to the contract page, but there's a new tab associations, which is unique to master agreements. Also, you won't see the payment form or payment progress tabs since they are only associated to the contracts that will be tied to this master agreement.
So you'll complete the fields on this tab and then move to the line items tab. The line items tab lets you define the line items of the master agreement with their estimated quantities and pricing over the course of a project. As you associate contracts such as purchase orders to this agreement, the associated POs can draw down from these master line items. The first line of the line item grid is a default placeholder.
When you associate a contractor or purchase order, that's not using specific master agreement line items, the values of the associated contractor PO line item will be accumulated in this line Item's association's view set. If an associated contract is using a specific master agreement line item, the associated contract's line will total in the association's view set for that line. Let's look under the association's tab. Here you can see the list of all contracts associated to the master agreement.
To associate a new or existing contract, click the add contract icon and then select new contract purchase order or existing contract purchase order. Selecting one of these, will open the add contract dialogue box. The dropdown list will only include those contract types that are allowed to be associated with a master agreement. Note that the vendor field is disabled and is filled with the vendor name from the master agreement.
After completing this click add. When you add an existing contract, you'll have a menu of eligible contracts appear. These will be contracts which have a contract type configured to allows as well as the same vendor as the master agreement or no vendor listed on the contract yet. Select which ones you want and click add.
These will appear in the register as well. Notice on the associations the reference data agreement ID field is now linked and associated to the master agreement. Let's take a minute and discuss the master agreement banner. This banner shows up at the top of all the pages in the master agreement to help you track the current value and associations.
The current value is the amount of the master agreement. This value includes the line items defined in the master agreement. The remaining fields come from contracts associated with the master agreement. Let's take a look at a contract we'd like to associate with this master agreement.
Open the contract and on the header page and under the reference data, you can associate this contract to a master agreement. On the line items tab, you can add additional lines directly from the master agreement. When a line item is added from the master agreement, it predefines the line item details and creates the association to the master agreement line item. It always comes in as read only.
To define the value of the line, a quantity must be entered and saved within the data block. When you add a new line item, it becomes associated to the master agreement, but because it was not created from an existing line item, it gets associated to the 4 0 line item on the master agreement line items data block. One last thing, Contract provides a visual for the master agreement's cost. Selecting the master agreement total slide out panel is similar to the contract total slide out panel.
All the information about the receivables, invoices, submittals, payouts, and retainers are included in this slide out. These totals come from the contracts which have been associated to the master agreement and not from the master agreement itself. Well, now you've learned how to create a master agreement and associate costs from contracts and purchase orders.
