InEight Contract - Vendor Change Order (VCO)

This video demonstrates how to build and manage vendor change orders. In contract, you may need to manage and track changes between you and the vendor during the execution of the project. This is when you would create a vendor change order to track these changes on each contract record. From your selected contract, select the vendor change order log tab.

Here you can see all the VCOs for your contract. Add a new VCO by clicking the add button or select the VCO ID link to open an existing VCO. The unassigned change items field shows the sum of any issue, PCO and CCO pricing items for the vendor contract that have not been assigned to a VCO. The remaining two by field shows how much money is left in the un-awarded value of the bid package.

For now, we will create a new VCO.

Creating a VCO

Fill in the required information on the add vendor change order screen. Then click save. Scroll down, and you'll see vendor change order terms.

By expanding this section, you can enter terms about the VCO, including vendor change order inclusions, exclusions, and warranty. Under associated change items, you can associate the vendor change order with issues or change orders In the InEight Change module. Back under changes, you can add a back charge to the VCO. Note, that any back charges associated with the VCO from the back charges detail page, are displayed here automatically.

Schedule of Value

The next tab is the schedule of values. If your contract is defined at a schedule of values level of detail, you can either add an existing schedule item already defined for this contract, or add a new schedule item altogether. For this example, you can add existing schedule items to the VCO. Select the item, then click add.

Then, add your adjustment amount. In the total revised value section, you can see the total quantities and schedule of values. When you want to populate line items from the values included in the SoV tab, click push two line items. A warning message indicates that the push updates, the line items tab with values from the schedule items and any value or line item or value that was

added to the line items tab, is removed.

Click yes. On the line items tab, you can see the items that were pushed from the schedule of values' level. You can also add line items directly here, If you don't track your contracts at a schedule of values level. You would follow the same steps for adding a line item change as you did for a schedule of value item.

Once your change order is agreed upon with the vendor and executed, you have the option to upload the executor change order into the supporting documents tab so your

vendor change order can be published. Returning to the contract record page, select the contract name and then go to the supporting documents tab. Click add. Three dropdown options appear.

Note, the last option will only appear if you have InEight Document synced to your project. For this example, we will choose from supporting document list. When this window opens, you see a list of supporting documents to choose from. Click add.

From the add icon, select the document you just added and click add. execute the VCO, click on the dropdown for vendor

Executing VCO

CO status and select execute and publish. A green toast message indicates the vendor change order was submitted successfully. You have now learned how to create a vendor change order, add line items from the schedule of values, and execute and publish the vendor change order.
