Video - InEight Estimate - Compare and Award Subcontractors
TRANSCRIPT
Welcome to InEight Estimate. This video demonstrates how to use the Quote, Comparison and Award register to manage and award subcontractor quotes. For this estimate, we've received back three subcontractor quotes for our concrete site work. Let's right-click here to open the first quote.
Here we see this subcontractor quoted us on all the subcontractor work we requested a quote for, but they only gave us a single lump sum price for all the work. We managed this by selecting the Packages tab here. A,dding the Package price here with its Description and Amount, and then assigned that package to all the cost items on the left, so they all fell under that price. Back on the Special Terms and Conditions tab, notice this sub acknowledges the addendum, but they don't include the other scope items on their quote.
On the second quote, this subcontractor gave us two lump sum prices for the work. Grouping the work into onsite and offsite packages. On the Packages tab, we added the two packages with their amounts and assigned them to the appropriate cost items on the left. Note, however, that this sub didn't quote us on all the cost items we requested.
Also, back on the Special Terms and Conditions, notice they don't include Surveying in their price. On the last quote, here we can see this subcontractor gave us individual pricing for each cost item, but clearly they did not quote us on all the work we requested. On their quote, they did indicate that all additional scope items under Special Terms and Conditions would be included. With the pricing and scope of these quotes captured in the system, let's see how they look on our comparison screen.
Under the Quote menu, in the Quote, Comparison and Award section, you can select Cost Items to compare your subcontractor quotes. Here on the comparison screen, notice we've selected all quote groups. This allows us to look at all our subcontractor work, scanning across our entire estimate to ensure we have coverage. Let's expand the Concrete Sitework quote group by clicking here.
This shows us all the cost items we assigned to the concrete site work quote group. Including pricing, we estimated for self-performing the work. Notice, for some, we estimated a rough plugged cost while others we estimated in more detail. Here we can compare our estimates for self-performing the work side by side against our subcontractor quotes.
Notice the package pricing from Haley Construction and BL Concrete versus the itemized pricing of Braxton Concrete. Comparing each contractor, there's a significant difference in price, and scope. We could go with Braxton since they are the lowest bidder, but who will pick up all the extra site work they didn't give a quote for? Would it be worth the time and resources to self-perform the remaining work?
This comparison screen includes a valuable feature to help you quickly analyze which subcontractor gives you the best price while ensuring you cover all the work. Click here to turn on Substitute Values. Notice substitute values are now added where scope was missing. Now, instead of just a quoted total, you have a comparable total that includes the substituted values.
This gives you an apples to apples comparison of your quotes to help you make the best decision. We also want to keep in mind the additional scope items we had in Special Terms and Conditions. Since Haley didn't include survey and waterproofing, an additional $800 will be added to their total. Still, it looks like Haley Construction may be the best to go with after all.
To award a subcontractor the work, right-click here and select Award All. A prompt appears letting us know that since this is a package price, it will distribute equally across the quoted cost items. Select Yes. Let's take a look at how awarding this quote automatically updated our estimate.
Let's open the Cost Breakdown Structure. Notice if we scroll, we can see all our cost items assigned to the concrete site work quote group. Let's open one of them. The cost item has been updated to indicate the sub it's awarded to, and it's updated with the quoted pricing automatically from when I awarded it on the comparison screen.
Well, now you know how to use quote comparison and award to manage and award subcontractor quotes. Thanks for watching.
