In this video, we'll review setting up roles and permissions to provide estimators access to InEight Estimate in the Cloud.
Roles are typically created by your Admin and are managed in the Roles and Permissions page in the Suite Administration section of InEight Platform. Generally, permissions managed in Platform determine which users can launch Estimate, who can manage jobs, snapshots, and templates, and who can access the Estimate Library.
Let's create a new Estimator role that can launch Estimate, edit a job, and view snapshots. Start by clicking the + icon, then add the initial details. Expand the Estimate menu and select these options under Launch Estimate, since we want the estimator to be able to add and edit jobs. Then check the View Snapshots box. Notice this Estimator role will not have permission to delete jobs or add & edit snapshots, but that's your organization's choice. Click Save.
To grant permissions to a particular user on a job, click on User Management. Find and then edit the user assignment. Click on the Roles tab to add a role. Choose the newly created Estimator role and select the desired organization or project. Then click Save. And since permissions are cumulative, if a user is assigned multiple roles on a single project, the role with the most permissions is applied when attempting to access various functions.
As an Admin, you might want to assign even more granular permission levels. You can do that within Estimate's Library, accessible from the Backstage View.
On the Setup tab and under Roles and Permissions, there are two options: User Roles and Access Control. Let's first click to open User Roles. These are the role names and descriptions from Suite Administration > Roles and Permissions that you can use in the Access Control Register.
Returning back to the Setup tab, let's open Access Control and align them side by side. Here you can further customize your system permissions by restricting destinations or commands that only designated roles should have access to.
For example, under Destinations, the Pay Item and Proposal Register. If you wanted to limit this destination to, for example, the Lead Estimator role, we'd first search for and then drag the Lead Estimator role beneath the Pay Item and Proposal Register destination. Doing so means that once saved, only the Lead Estimator can access the Pay Item and Proposal Register. And of course, right‑click on any assignment and click Delete to remove the access.
