Welcome to an InEight Estimate in the cloud.
In this video, we'll show you how to synchronize your existing estimate address book entries with InEight Platform's vendors and contacts.
Your address book remains intact, but now it also includes the vendors from Platform's master data library.
The master data library houses all the vendors and contacts available within your organization for project use.
By sharing master data across estimate and platform, you can have one consolidated source of truth rather than needing to maintain different contact and vendor lists in different applications.
You'll effectively be merging two different lists. Your existing Estimate address book, with the vendors and contacts now appearing within InEight's master data library, Specifically, when merged, companies, and estimate become vendors and contacts correlate to contacts in the InEight Suite.
Your existing address book entries are found here.
You can choose between three address book page arrangements, vendors and contacts, vendors and default quotes, and just contacts.
In any of the three formats, you can see your existing address book entries in addition to all those vendors and contacts from Platform.
Your existing address book contacts are shown with this disconnected symbol. Meaning they're not connected to Platform.
Today, your current Estimate address book could have multiple contacts with the same vendor. So unless the company names for those multiple contacts are identical, you may have some vendors that occur multiple times with the same company.
You want to merge those multiple instances of the same company into a single vendor before you merge or update it into Platform.
We'll use this Merge Vendors With Platform function when you have the same company in both Estimate and in the Master Data Library. For example, here we have a vendor in our address book, and the same vendor that came over from Platform.
To merge them, we'll select them both and click Merge Vendors With Platform.
And you'll need to fix any discrepancies first if there are any there. Once merged, Quotes, and RFQs, we'll update with the updated info automatically.
You can also use the merge functions by right-clicking on the multi-selected items.
In our second example, we'll migrate an existing vendor that's not already in platform from our address book. Just select the disconnected vendor, and select Upload Vendor To Platform.
Once you click Upload, the entry will be created in Platform, synced back to Estimate, and the disconnected icon will disappear.
And if you have one or more disconnected contacts, that are truly redundant and not needed, you can delete them by right-clicking on each one and selecting Delete.
Note that you can also view vendors or contacts by clicking on any of these options.
If there's a hyperlink to a vendor ID, clicking it will take you to the vendor details page in the Master Data Library in Platform.
And in case it's not yet obvious, You're no longer able to add additional entries directly in the address book. Given the proper authority level, the master data library and Platform will be the location where, moving forward, any new contacts or vendors can be added.
We recognize some attributes of vendors are relevant only estimates such as minority status, default quote groups, and qualifications.
These attributes on the vendor record will still be maintained in Estimate.
