Once we've received back quotes and have entered their pricing, we can compare them to determine which one to award. To open the Quote Comparison & Award Form, select Quote, then Resources. You have three layout options for viewing quotes on your screen: by quote group, all quote groups and all quote items. The Quote Comparison & Award screen is designed to closely match the layout of a bidders quote scope sheet.
Select By Quote Group. Let's take a look at a few areas of the Quote Comparison & Award form. The Quote Group filter is where you can filter by individual quote group created in the Foundation Setup Data register. Another area to note is the actual Subcontractor Quote.
The quotes, show with the vendor name plus the quote, description and display in a side by side comparison. Awarded items show an award symbol. The cost source can either be a Plug or Detail type. In this case, we see quotes in a side by side comparison view.
By default, the quotes are compared lowest to highest quoted total, from left to right. Note the chain link icons on both vendors indicate they are not willing to split their items. When selecting Edit mode, you can make last minute changes to the quote price. The changes made update the estimate in real time, allowing you to see the impact of these changes.
When you need to jot down notes or you need to add some additional comments to a quote, quote Notes allow you to add and edit notes you'd like referenced within a quote. Quotes can also be duplicated from an existing quote by selecting Duplicate Quote. The duplicated quote will contain the same scope as the original one. The Package Entire Quote function provides you with a simple way to mark an entire quote as a package.
This is beneficial if you are attempting to quickly update an existing detailed quote to a lump sum quote, either from the quote record or Quote Compare & Award form. You can display a substitute value by selecting the Substitute Values. The Set Substitute Ranking icon determines the selection order of the substitute rankings. The substitute values are color coded so that you can see the source the substitute value derives from.
Hovering over Example 4's Substitute Value displays the color coded value showing where it was derived. It's possible to ignore a quote for any reason by navigating back to the quote register. Let's select Example Vendor 4 and Ignore his quote and select a "non-compliant" reason. Navigating back to Quote Comparison & Award, we can see that the vendor's quote is ignored.
Toggle the Ignored Quotes icon to view this quote or not to view. In the quote register, let's turn the Ignore switch back to Off. The Configure Totals option is important because you can display and sort fields such as quoted totals, comparable totals, and special conditions which display at the bottom of the quote. If a quote is in yellow, this indicates that the quote record is open in another screen.
Closing out of the quote record will turn the record back to gray. Let's award a quote to a different quote group. On the quote group's data block check "asphalt materials." Since Example, Vendor 1 has a lower comparable total than Example Vendor 2, let's award the quote to Example Vendor 1.
Right-click on the header for Example Vendor 1 and select Award All. Example Vendor 1 will now have a check mark for Reviewed on the quote groups data block. Note, you can see the awarded totals for each vendor and the awarded total overall. Let's see if the quoted total updated in the estimate by selecting the Estimate tab and opening the CBS register.
Let's open 5.1 Furnish and Haul Hot Mix. This resource now has the quoted value for its unit cost.
