You can send out invitations for quotes using the Request For Quote form. To access the Request For Quote form, select the Quote tab, then select the Request For Quote icon. This opens the RFQ register where you can view the project's RFQ's that have been created. Right-click on an RFQ and select Open.

Each Request For Quote Record contains three sections. The first section contains the RFQ description, deadline date, and deadline time to identify the RFQ. The second section contains tabs where you can define the items for the quote, along with the terms and conditions and seller info. The third section contains the RFQ status and published date.

Click OK to close the RFQ record. On the RFQ register, you can create new requests for quotes by selecting the New button, on the Actions tab. You have three options for creating RFQs: Create RFQ from scratch, create RFQ from quote group tags, and create RFQs using default seller data. Select Create RFQ From Quote Group tags and leave the two checkbox options checked.

This ensures that only resources that are being utilized on your project will be included on the RFQ. Select the Aggregates quote group, then select. OK. This opens a new RFQ record with two aggregate resources that are in use within your estimate.

For the "select response deadline" date, select 2 weeks from today. For the "deadline time", enter 2:00 PM. Click on the Terms and Conditions tab. In the Buyer's Special Terms and Conditions field type "prices are good for the duration of the contract."

In the RFQ instructions, type "all items to be delivered to job site by supplier's trucks." Select the Sellers Companies tab to select the sellers you want to send the RFQ to. Click on the Address Book icon under a company name, and then select Vendors 1, 2, and 4 by holding down the CTRL key, and then click OK. To send out the RFQ, you can publish by email and to a Word document file.

"Published by email" creates an email containing the RFQs for all vendors you've selected. "Published to a file" creates a Word document, also containing the RFQ for the selected vendors. In this case, let's publish to a file and by email. Make sure the "publish to a file" and "published by email" boxes are checked.

Then select the Publish button. An RFQ word document is created for each seller. An email is also generated for each individual seller that you can review before sending.
