To integrate your estimate with a Primavera schedule, you must first mark your items as Scheduled in the CBS Register. From your Saved views, select Schedule Setup View. In the Scheduled column, check the box for Mobilization and Clearing and Grubbing. Notice when you schedule the superior cost items, it automatically schedules the subordinates along with it.
When scheduling, you can only schedule the entire cost item together. To schedule multiple cost items at once, use the SHIFT key to make a selection, then right-click on the highlighted rows. You'll then right-click and select Schedule Selection. A prompt appears asking if you would like to roll up the selected cost items to a certain level in the schedule.
At the moment, you don't want to roll up your items so you can keep the default setting and click OK. Your selected items are now scheduled. You can also roll up cost items on the CBS Register. For example, let's say you want to roll up the subordinates for Clearing and Grubbing, so it will show up in the schedule as a single rolled up item.
Check the Roll-up Schedule box at the clearing and grubbing level. To send your estimate information to Primavera, from the Estimate tab, select Schedule > Update Primavera From Estimate. Uncheck the Actuals box, since we aren't yet tracking any Percent Complete for the project, then click OK. An attention prompt appears asking you to save.
Click YES. Open your Primavera scheduling software. Make sure that Primavera is refreshed with the latest estimate information by selecting Refresh from the file menu or by pressing F5 on your keyboard. Back in InEight Estimate.,
when you selected Schedule > Update Primavera From Estimate, a new Primavera project was created in Primavera. In Primavera. Select File > Open to open the project. Select the appropriate job, and click Open.
The project opens with your scheduled items and their durations and days. Notice Clearing and Grubbing came into the schedule as a single rolled up item. On the right, your task came in with the same start date ready for you to schedule. Let's schedule your items.
Select all your items using the SHIFT key, then right-click and select Link Activities. This creates your scheduling relationships, but the predecessor and successor dependencies don't take effect until you select Schedule in Primavera. Select Tools > Schedule. Note that you can also open the Schedule window by pressing the F9 key.
Click Schedule. Your schedule activities are now scheduled. Click on the Resources tab. Note that your resources and their costs can load into Primavera as well, if you choose that option in the InEight Estimate > Job Properties under the Schedule tab.
You can send your new Start and Finish dates back to InEight Estimate to use for reference, and for calculating cash flow and cost escalation. Go back to InEight Estimate and from the Estimate tab, select Schedule Update Estimate from Primavera. A prompt appears asking how you want to update your estimate. Since you haven't made any changes that affect production, you can click OK.
Click YES to save and continue. Your dates now show up in your estimate. Note you have two columns that refer to plug days. Plug Days allow you to schedule a different number of days for your cost items than what you estimated.
And for example, you've estimated 40 days to do your excavate, install, and backfill of 10 inch PVC pipe. In the schedule, you want to plug 45 days to accommodate the delivery schedule of the materials. Check the Schedule Plug Days box for the excavate, install, backfill pipe and enter 45 in the Plug Days field. Select Schedule > Update Primavera From Estimate to send your scheduled change to Primavera.
Uncheck Actuals, and click OK. Then click YES. Toggle to Primavera and refresh the data. Your Duration for excavate, install, Backfill Pipe is now updated to 45 days.
When you make changes in Primavera, you can send them back to InEight Estimate. Let's say you need to increase your duration for the excavation activity to 20 days. Select Tools > Schedule and click the Schedule button to schedule your change. Go back to InEight Estimate and from the Estimate tab, select Schedule > Update Estimate From Primavera.
The Update Estimate From Primavera prompt appears. If you select the first option, your work hours will update to reflect the changes made in the schedule. So the excavation cost items "Days" would update to 20 on the Production tab. It's likely that you won't want to change your crew's production however, as this drives your estimate's costs.
If you select the second option, it will keep your current work hours intact and instead, put the change duration in your Plug base. Select the second option and click OK. Notice the Haul cost item now has 20 scheduled Plug Days, but the days defined on the Production tab are still at 12.5.
