Use Case

Use Case: The project manager receives word from the field of a client requested change order requiring additional steel work and materials. He has his project controls manager price it out and get it ready for his approval.

This topic is for organizations that use InEight Control exclusively for managing budget changes.

As changes occur, you need to make sure your Current Budget stays up to date over the course of the project. So, what do you do when there are changes?

Budget Move from InEight Control

Completing a budget move from within Control is necessary when you need to move dollars (e.g., contingency or internal funding) from one bucket to another to cover an issue.

In the example below, note the amounts in our Current Estimate for Erect Steel – Heavy and Light.

Due to recent changes, costs need to be moved from the Erect Steel - Heavy cost item to Erect Steel - Light. After changing the CE total cost values, the current estimate for Erect Steel – Heavy and Light look like this:

To update the Current Budget with this change, a Budget Move form must be filled out and submitted for approval. You access this from the Actions menu:

A couple things to keep in mind:

  • The total of budget moves must be “net zero” so it will cause no change to the total price of the project.

  • You can use the Budget quantity and man hour adjustment option to move quantities and man-hours.

Contract adjustment from InEight Control

A contract adjustment is necessary when you have a change order you need to add, so that you can see its effect on the budget. Doing so will affect your total price, either by providing an addition to your budget or by reducing it.

You can initiate a contract adjustment from InEight Control, using the following steps:

Here’s the first view when making a Contract Adjustment.

Once submitted, the contract adjustment will be Pending Review as shown below.

If you approve it, then those changes will be reflected in your CBS structure.

Approve Budget Changes

After submitting pending contract adjustments or budget moves, each must be reviewed and then approved for the values to update the Current Budget.
